Suppressed materals in OPAC Course Reserves, even though course has ended

    • Article Type: General
    • Product: Aleph
    • Product Version: 18.01

    Description:
I am still having a problem with the example referenced in KB 16384-11905.

We are still seeing ' Procedures in Marriage and Family Therapy ' in our Course Reserves page of the Web OPAC.
(The circ desk already deleted the course.)

When patrons see personal copy items in the Course Reserves, they come for it at the circ desk. These materials
still display, even though the course ended, and the item is no longer on reserve.

I can not suppress records in the sth30, at the end of the semester.

We have the changes to ./alephe/tab/tab_base.eng exactly as advised.
    STH30 Course Reserves STH30 EXU30 USM30 STH30 N alldocuments not wpe=NA

We ran the course_3 and course_4, which took care of books that are part of our regular library collection.

How can I suppress the remaining records from the Course Reserves?

Is the only option to delete the records, then use ret_01 for sth30 and then p_manage_33 ?

    Resolution:
Most sites don't delete the course. They run p_course_03 to give the course -- and the xxx30 doc records, via the expanded CNO-6 field -- a period of "NA". In that case the "alldocuments not wpe=NA" will effectively suppress it.

But, as you can see, these doc records have no CNO fields and no period of "NA" -- since they are no longer connected to a course.

I see that the STA field *is* being sent to the WST index in the sth30 tab11_word:
    STA## a 04 WST

Therefore, all you need to do is to add "not wst=suppressed", to make the "STA |a SUPPRESSED" which you have added to the xxx30 doc record be effectual:
    STH30 Course Reserves STH30 EXU30 USM30 STH30 N alldocuments not (wpe=NA or wst=suppressed)

Then you need to restart the www_server to make this change to the STH30 base take effect.

Note: one effect of this will be that you will no longer be able to see this doc record in the staff mode since the base being used there is "STH30". That is why I previously suggested that you *not* use STH30 as your OPAC base but rather STH30_1, STH30_2, etc. Or you could create an STH30PUB which would look like this:
    STH30PUB Course Reserves OPAC STH30 EXU30 USM30 STH30 N alldocuments not (wpe=NA or wst=suppressed)

and then you would change the STH30 to:
    STH30 Course Reserves STH30 EXU30 USM30 STH30 N

In this case, you would need to make the changes described in KB 16384-11905 to make this different base take effect.

If there's a chance that the course will be offered again, it is better to not delete it, but instead make it Not Active.
