    Why doesn't Aleph load the subscription start/end dates from an EDI file?

    • Article Type: General
    • Product: Aleph
    • Product Version: 18.01

    Description:
    When I run p-edi-10 in ALEPH to load EDI invoices, it does not load the subscription start/end dates into the corresponding z75 record (z75_i_date_from and z74_i_date_to) for any of our invoices loaded via EDI (mostly Harrassowitz and Swets invoices). We actually need these start/end dates loaded for our end of year reporting. Why doesn't Aleph load the dates?

    Resolution:
    These suppliers are both sending the data in the IMD structures. An example from one of your Swets invoices shows:

    IMD+L+085+:::Jan 2008 V. 268'
    IMD+L+086+:::Dec 2008 V. 268'

    and from one of the Harrasowitz invoices:

    IMD+L+085+:::01.Jan.2009
    IMD+L+086+:::31.Dec.2009

    The IMD+L+85+ and IMD+L+86+ structures actually represent the starting and ending volume/issues covered by the invoice. These are loaded into the Note field of the line item. (NOTE: The formatting of this note field is controlled by edi_in_attr.) Starting and Ending dates, if present in the EDI Invoice, are represented in the PIA+5S and PIA+5E structures, respectively. These segments need to be added to the invoices you receive if you want to automatically populate the start and end dates of the subscription.
