    How to share Alma Analytics reports without saving them in a Shared Folder

    Use cases:

    • International sharing: The regional data centres are only synced weekly to the Community Shared Folders, and you want to share a report with a colleague overseas straight away
    • Institutional sharing: You’d like to share the structure of your report with a direct colleague, but you don’t want to save your report in a Shared Folder

    Steps for the person who built the report

    • Go to Alma Analytics and open the report you’d like to share
    • Click on the Advanced Tab
    • Click within the Analysis XML box containing the <saw:report…
      • nb this will potentially be quite a lot of lines, depending on the complexity of the report
    • Ctrl-A to highlight the data and then Ctrl-C to copy it
    • Ctrl-P to paste it into a doc eg Word, save it, and send to the recipient

    Steps for the person receiving the report

    • Go to Alma Analytics and create New, Analysis (any subject area, it doesn’t matter)
    • Click on the Advanced Tab
    • Click within the Analysis XML box containing the <saw:report…
      • nb this will just be a couple of lines, as per a new report with no fields yet
    • Ctrl-A to highlight the existing data, and hit Delete
    • Go to the doc received and Ctr-A to highlight the data
    • Click within the now empty Analysis XML box and Ctrl-V to paste
    • Click on Apply XML
    • Go to the Criteria Tab and the Results Tab and see that the report now contains the structure of the shared report
    • Remember to save!
