    Acquisitions Subsystem

    Translatable
    To configure acquisition activities, you must have the following role:
    • Acquisitions Administrator
    The infrastructure for the acquisition workflows involves configuration of Alma functionality with regards to POs, invoices, licenses, and other activities, and includes setting rules for the workflows for these processes.
    • The location filter on this page is disabled. Acquisitions configuration is at the institution level, not the library level.
    • Note that some configuration changes in Acquisitions impact other functional areas. Consider the impact on other functional areas before making changes to existing configurations.

    Fulfillment Subsystem

    Translatable
    Fulfillment represents the culmination of many of the library’s processes and patron-facing activities, such as organizational infrastructure, acquisitions, and user management. The infrastructure for the fulfillment workflows (which include loaning, requesting and the handling of requests, returning, reading rooms, and course reserves) involves the configuration of the following:
    • Locations, circulation desks, and fulfillment units
    • Service relationships and transit times between these units
    • Policies and rules for loans and requests
    • Resource sharing partners
    • Printers
    • Copyright features
    This section describes how to configure the various fulfillment functions. See the Alma Glossary for definitions of these functions. Fulfillment activities are configured in Alma according to location. Note that some configuration changes in Fulfillment impact other functional areas. Consider the impact on other functional areas before making changes to existing configurations.

    General Configuration Subsystem

    To configure general activities, you must have the following role:
    • General System Administrator
    You configure the various general activities from the Configuration page (Configuration Menu > General). Note that some configuration changes may impact other functional areas. Consider the impact on other functional areas before making changes to existing configurations.
    On the Configuration page, the following information is displayed:
    • The Configuring drop-down list, which enables you to configure options for the entire institution or libraries within the institution. Although most options are configured for the entire institution, some of the options may permit you to override or add settings per library, and some options may require you to configure them at the library-level only. See Organizational Topologies for additional information regarding Alma organizational levels.
    • The list of the available configuration options, which are detailed in the following table.

    Analytics Subsystem

    This section describes how to perform basic activities such as building, formatting, and customizing reports and how to provide reports to others, both internally and externally, by creating and updating dashboards.
    • There is a limit of 10 million rows per report created from Export > Data > Excel/CSV/Tab delimiter. If your report fails with the error Max Row Limit Exceeded, it is recommended to add additional filters to make the report smaller.
    • There is a limit of 2 million cells per formatted report created from Export > Formatted > Excel. If your report fails with the error  Max Row Limit Exceeded, it is recommended to add additional filters or remove columns to make the report smaller.
    • When using a report output as input data, the limit of the size of the input report is the same limit as all reports: 10 million rows per report. See Using Report Output as Input Data.
    • When filtering by a field value, there is a limit of 65,000 values when using the In/Equal to operator. You can avoid this limitation in DV by using a data set with the values.  
    • For reports in Narrative View, the limit is 500,000 rows.
    • Do not use special characters (for example: ' , & /) as part of report or folder names, as some functionality will not work.
    • The fields of the date dimensions in Alma Analytics report on data going back to 01/01/1980 and 30 years ahead.
    • Queries that run more than 30 minutes are stopped and canceled by the system.

    Code Table Enhancements

    The following improvements have been incorporated to enhance the functionality and usability of code tables, providing users with a more intuitive and efficient experience.

    Inner Search

    An inner search functionality has been added to enhance the code table experience. Users can now search within the code table to quickly locate specific entries either by the Description or Code column. In multi-language environments, users can also search by Translation (in addition to ‘Description’ and ‘Code’). In the drop menu, select the column to search by and enter the text in the text box. Click the search icon (Search Icon).

    The drag and drop feature enables users to easily rearrange and reorganize code table entries by dragging and dropping them into desired positions.

    In addition, if an entry appears on page 4 in the list and a user wants to move it to page 3, they can drag and drop the entry at the top of page 4 and in the row actions, select Move Up for the entry to now appear at the bottom of page 3.

    Alma enables users to filter Code Tables by translations. In multi-lingual environments, the code tables list can be filtered by language to filter the list by translation language.
