Upload Electronic Holdings from Oxford University Press
You can update Oxford University Press electronic holdings by automatically retrieving the institution-specific holdings using an integration profile.
The Oxford University Press auto-holdings integration covers all licensed Oxford University Press content. Free to Read content should be maintained separately. See Included Content for more details.
Obtaining Credentials from Oxford University Press
Defining the OUP autoholdings integration profile requires two identification codes: the Sigma Customer ID and the KBART API Key.
To obtain your credentials, follow the instructions provided at https://academic.oup.com/pages/what-we-publish/indexing-and-discovery or contact the Oxford University Press customer service at online@oup.com.
Activating the Oxford University Press Electronic Collections from the Alma Community Zone
The Community Zone provides the following Oxford University Press electronic collections:
-
Oxford University Press Books Autoholdings Collection (CZ collection ID: 61707906870000041)
-
Oxford University Press Journals Autoholdings Collection (CZ Collection ID: 61563711870000041)
-
Search Alma to locate the electronic collections in the Community Zone and activate them prior to running the Oxford University Press integration profile.
-
In the Activation wizard’s Full Text Service settings, select the Activate this electronic collection service and Make service available Full Text Service options.
-
Ensure that Automatically activate new portfolios is unchecked so that only portfolios from your entitlements list are activated. (Read more about the Activation tab options in Managing Electronic Resources.)

-
Upon activating the E-collection, you do not need to activate any portfolios. Select the Manual activation - activate electronic collection and manually select portfolios Activation Type option. The activation of the portfolios is done by the upload electronic holdings integration process.

Creating the Oxford University Press Integration Profile
-
Obtain your institution's credentials from Oxford University Press (see Obtaining Credentials from Oxford University Press).
-
Confirm that the Oxford University Press Autoholdings Collections are active in Alma. For more information, see Activating the Oxford University Press Electronic Collections from the Alma Community Zone.
-
On the Integration Profile List page (Configuration Menu > General > External Systems > Integration Profiles), select Add Integration Profile to open the External System wizard for configuring an integration profile.
-
For the Integration Type parameter, select Upload Electronic Holdings.
-
For the Provider parameter, select Oxford University Press.
-
Add a description (optional) and select Next.
-
Complete the Upload Electronic Holdings configuration section using the information in the table below.
| Parameter | Description |
|---|---|
|
Active |
Select Active to make this an active profile. The default setting is Inactive. |
|
Customer number |
Enter the Sigma Customer ID you received from OUP. |
|
API Key |
Enter the KBART API Key you received from OUP. |
|
File format |
Select the KBART file format. |
|
Group |
The Group parameter appears when the multi_campus_inventory_management (Configuration Menu > General > General Configuration > Other Settings) customer parameter is set to true. Use this parameter to select one or more groups from the list of multi-campus options in the drop-down list. This parameter is optional, so you may also choose to leave it blank. With the multi_campus_inventory_management customer parameter set to true, you can have multiple OUP integration profiles. When you have obtained multiple customer IDs and API Keys from OUP, you may want to create multiple integration profiles using that identification information. When you have more than one active Oxford University Press integration profile with one or more multi-campus selections made for the Group parameter, any additional active Oxford University Press integration profiles must have one or more multi-campus selections made. In this situation, the Group parameter may no longer be left blank. When the Oxford University Press integration profile job is run, and multi-campus group information is configured, the multi-campus group information appears in the job report. The portfolios activated by the job include an available for indication, indicating which inventory groups have access to that portfolio. |
|
Schedule |
Select your preferred scheduling option for the OUP autoholdings job. We recommend scheduling the job to run weekly. The provider updates the KBART entitlement files on their platform on a monthly basis. Currently, this takes place on the last week of each month (OUP sends a single announcement around the penultimate Thursday of the month that new titles were published in the previous month). When the multi_campus_inventory_management (Configuration Menu > General > General Configuration > Other Settings) customer parameter is set to true, and you have multiple OUP integration profiles, the first scheduling option you select and save applies to all other active OUP integration profiles. In the case of multi campus inventory management, when the scheduled job begins to run, all of the OUP integration profiles that are set to Active are handled together by the job. Any OUP integration profiles set to Inactive are not handled as part of the scheduled job. |
-
Save the profile using one of the following options:
-
Select Save. The integration profile is scheduled and appears in the list of scheduled jobs (see Viewing All Scheduled Jobs).
-
Select Save and Run Now. This saves your profile settings and immediately queues the upload to run.
Included Content
Free-to-read and Open Access content is not included. All other content is included in the integration and is activated by the autoholdings job.
Discontinued titles are kept in the customers' KBART files as long as they remain on the OUP platform. Read more on the OUP website about Removed and discontinued books.
For journals, there are separate coverage statements for archive and frontfile journals.
Preserving Previous Oxford University Press Acquisition Details
If, prior to the use of Upload Electronic Holdings from Oxford University Press, you managed OUP titles in a different collection(s) and you want to preserve the acquisition details associated with those titles (such as PO lines and licenses), you can use the Move electronic portfolio information job to move PO lines and licenses to the collection.
-
Create a set of the content type electronic collections that includes the previous collections in which you managed the Oxford University Press titles.
-
Open the Run a Job page (Admin > Manage Jobs and Sets > Run a Job), and search for the Move electronic portfolio information job.
-
Select the Move electronic portfolio information job and select Next.
-
Select the set that you created above and select Next.
-
For the Target electronic collection, select the relevant Oxford University Press collection.
-
Select the Move PO lines and Move licenses options and complete the required information as needed.
-
Select Next and review/confirm the job summary information.
-
Select Submit.
You can safely attach PO lines to portfolios in an autoholdings collection, as autoholdings jobs do not override PO lines and do not delete portfolios that have PO lines attached to them.
