Configuring Physical Item Sequences
To configure physical item sequences, you must have one of the following roles:
- Catalog Administrator
- Repository Administrator
- General System Administrator
The following item sequences can be configured for physical item inventory:
- Inventory Number - This provides libraries with the ability to comply with inventory control regulations by providing an additional, unique inventory number for each physical item.
- Receiving Number - This provides libraries with the option to manually assign numbers when an item is received.
- Weeding Number - This provides libraries with the option to manually assign a number when the item is weeded.
Sequence information is indexed and available for search after it is activated/set to true. (Configuration Menu > Resources > Search Configuration > Search Indexes). The following search index codes are available:
- inventoryNumber
- inventoryDate
- receiveNumber
- weedingNumber
- weedingDate
Note that the Receiving and Weeding fields were not added to the Keywords search.
The Inventory and Receiving numbers appear in the repository search results. You may need to configure your display results to view this information using the Configuration icon . See Record Lists for more information.
For reporting purposes, sequence data is available in the subject area - physical items of Analytics. Item sequences can be used for filtering Analytics reports.
Note also that relevant item APIs include the item sequence fields.
With physical item sequences:
- Multiple number sequences can be set for each sequence type configuration for applying to physical items.
- Each sequence may include a prefix.
- You can configure a sequence to start at any number.
- You can configure the total length of the prefix + number.

Configuring Item Sequence Numbers
Use the procedure below to configure item sequence numbers.
To configure an item sequence number:
- Open the Inventory Number Configuration page (Configuration Menu > Resources > General > Item Sequences).
- Select the tab for the type of sequence number(s) you want to create.
- Select Add New Sequence, and select the library for which this sequencing will be available. Multiple sequences can be available to each library. If you do not select a library, the sequence is available to all libraries.
- In the Sequence name field, enter a unique name for this sequence (up to a maximum of 255 characters).
- In the Sequence start field, enter the first number for sequencing (up to a maximum of 18 characters) such as 1 or 1000. This number must be a positive integer. Numbers increment by integers.
Only one method is currently available (Prefix + Sequence). - In the Prefix field, enter a prefix (up to a maximum of 255 characters) to identify physical items that receive a number from this sequence in Analytics reports. For example, USED-.
- In the Padding field, enter the total (minimum) length of the sequence number (up to a maximum of 255 characters). 0s are added before the digits to ensure that the sequence number has as many characters as the padding. For example, if the prefix is USED-, the sequence start is 1, and the padding is 10, the first number in the sequence will be USED-0000000001.
- When you are done, select Add Row. The sequence is saved.
- Repeat steps 2 through 7 for each sequence.
- When you are done, select Save. Note that when you select Save, changes made on any of the tabs (Inventory Number, Receiving Number or Weeding Number) are saved.
Deleting Item Sequence Numbers
Use the procedure below to delete item sequence numbers.
To delete an item sequence number:
- Open the Inventory Number Configuration page (Configuration Menu > Resources > General > Item Sequences).
- Select the tab for the type of sequence number(s) you want to delete.
- Select Delete from the row actions list in the sequence row that you want to delete.
- Select Confirm.
Deleting an item sequence configuration removes the sequencing option from the Physical Item Editor page. The Allocate button will no longer appear.
Note that deleting an item sequence configuration does not remove existing sequence numbers from any items.
Resetting Item Sequence Numbers
At some point you may want to restart sequence numbering for a sequence. Use the procedure below to reset item sequence numbers.
To reset the numbering for an item sequence number :
- Open the Inventory Number Configuration page (Configuration Menu > Resources > General > Item Sequences).
- Select the tab for the type of sequence number(s) you want to reset.
- Select Set Next Sequence Value from the row actions list in the sequence row that you want to change.
- Enter the new value in the Set Next Number Value dialog box.
- Select Save.
