Overview

The Researcher Deposits Profiles allow admins to configure dedicated researcher deposit forms for each asset category and/or asset type. The system will use the profile defined for the asset type being deposited and if none is available, will use the profile defined for the asset category. Only one profile can be active at any time for an asset type or asset category.

Elements of the Researcher Deposit Form

The configurable researcher deposit forms include multiple elements:

  • Help text - the text that displays at the top of the form.  Each deposit profile can have it's own help text. 
  • Sections –each form has several sections. Sections include fields (see Fields for more information) and have a title and help text that can be configured. The section title is shared between all profiles and can be customized in a code table. The order of fields within a section, the order of sections within a form, and the help text per-section are all defined in the configurable profile. 
  • Fields – all the fields in the Esploro asset record can be used in the configurable researcher forms. The field component in the deposit profile includes a field name and a field hint both of which display on the deposit form. Each field is mapped to a single section and displays within that section on the deposit form; this mapping cannot be changed.The order of the field in the profile controls the order within the section.
  • Section help – every section can have its own help that displays at the top of the section.  Section helps are defined in the deposit profile.
  • Section Table of Contents – a list of the sections in the order defined by the deposit profile displays on the left-hand side of the form and is not customizable.
  • Deposit Agreement – this section will always display.   The type of deposit agreement to display is defined in the deposit profile.
  • Actions – there are some actions on the form – Submit, Continue, Back.  The labels of these can be customized in a code table.   

Configuring the Researcher Deposit Form

To configure the deposit profiles access Configuration > Repository > Deposits > Manage Researcher Deposit Profiles.

Profile Management List

The list of profiles includes several columns:

  • Status – Active/Inactive.  Only one profile per asset category/type can be active at a time
  • Profile Code
  • Profile Name
  • Description
  • Created by
  • List actions
    • Edit – to edit the profile
    • View – to view the profile
    • Go to Form - to view the form as the researcher will see it

Adding New Profiles

Use the option “Add New Profile” at the upper right side of the profiles list to add a new profile. See the following section for an explanation of the Profile Details Page.

Out of the Box (OTB) Profiles

There is an OTB profile for each asset category and for several asset types: Journal Article, Book Chapter, Book, Event Poster and Event Presentation. The OTB profiles can be edited, or can be disabled if you create a locally defined profile instead. There cannot be two active profiles for a category or asset type.

Profile Details Page

The Profile Details page displays when you edit or view the profile.  The page is split into two sections:

  • Profile Details – this section defines the general details of the profile
  • Fields for Form – this section defines the deposit form fields

When you add a new profile enter the mandatory fields in the Profile Details section and invoke the “Save” action at the right-hand corner of the page.  Then the "Fields for Form" page will display with two fields – Title and Creators. The Title is a mandatory field and cannot be deleted.

Deposit Profile Details

  • Profile Name -Use this field to describe the profile’s use
  • Profile Code – This field must be unique. OTB profiles end with _OTB
  • Profile description – Use this field to describe the profiles use more fully.
  • Asset type – this field is required select an asset type from the list. An asset type cannot have more than one active profiles.
  • Deposit policy – this field lists the deposit policy available for this profile. Select a single policy from the list of available policies that display.
  • Instructions – this field displays to the Researcher at the top of the deposit form. There is no limit to the field size, but we recommend that the instructions be clear and concise.  The field is translatable.

Fields for Form

The fields in the researcher deposit form are divided into sections. The division into sections is controlled by the system and cannot be changed. See the table below for a list of fields per section.  The configuration therefore does not include a list of sections – only a list of fields. The order of the sections within each profile is determined by the order of the fields.

The list of fields has the following columns:

Drag and Drop- use this column to drag and drop fields and change where they display on the deposit form. 

Field Row Number– this defines the order of the fields and subsequently the order of the sections.  

Enabled – this indicates if the field is active and displays in the deposit form or not.

Field – this is the field name as it appears on the Asset Form in the Research Information Hub.

Text on Form – this is the name that displays in the Researcher Deposit Form.

Mandatory for Submission – this indicates if the field has been configured as mandatory. If a field is mandatory the deposit cannot be submitted unless the field is present.

Section – this is the section that the field belongs to and is not configurable. See a full list of sections below.

Row action list 

o    Edit - edits the definition of the field.  Refer to the following section for an explanation how to edit a field. 

o    Delete – deletes the row.

Fields that are required for all asset types do not have a delete option.

Add and Edit Field

Use the “Add Row” action to add a field to the profile.  The Add and Edit pop-up windows have the same fields.

A field can only be used once in a profile.

Field – the field name and section to which it is mapped; non-configurable.

Text on form –this is the name that displays on the Researcher Deposit Form. 

Hint – hint text for the field.  This will display under the field in the form and should be concise.

Mandatory for Submission - checkbox to indicate if the field is mandatory.

Section Help 

Each section has a dedicated "Help text" field. Add this field using "Add Row" and selecting "Help text" from within the section. The help text always displays at the beginning of the section and can contain text and html links.

Section Names

Section names can be customized in Configuration > Portal & Profiles > Labels >  Researcher Deposit Form Sections.  The section names are shared by all deposit profiles.

 

ANZ Field Configuration

Customers that use ANZ Subject classifications can configure which of the three available fields will display in the Researcher Deposit in the table Researcher Deposit ANZ Configuration. This table lists the three possible fields, Fields of research, Socio-economics and Type of activity.

If all three fields are left active then all three fields and keywords will be included in the deposit form, if only one field is left active then that field and Keywords will be included in the deposit form.
