    Intota: Data Optimization - Refine Database Settings

    How do I make make sure that my database settings are correct and helpful?


    Settings on the Database Details Pages control the way that your resources work in your Discovery Services. Keeping these settings accurate and up-to-date is essential for successful linking to full-text content and appropriate display of content in your Discovery Services.
    Each step includes the following: priority, why you would want to perform this step, how to address the issue, and additional information when available.

  • Confirm that the desired Discovery Services are turned on for your databases.

    Priority:
    Critical
    Why?
    Setting a resource to a status other than Not Tracked will activate this resource in your Intota Profile. Each activated resource can then be turned On or Off for your individual Discovery Services: 360 Core, 360 Link, 360 MARC Updates (if you subscribe), or Summon.

    By default, when you activate a database, all relevant Discovery Services are turned On. But, it is still helpful to review these settings and make sure they are set properly.
    How?
    In the Management Reports area of Intota, run and download a Database Details Report. Review the settings under the "Display In..." column for each of your Discovery Services. If any changes are needed, follow the instructions for Changing a Resource Display.
    Additional Information:

    Add Custom URLs and identifiers to databases from providers that require special settings for authentication.

    Critical
    Why?
    Some providers require you to add institution-specific identifiers to the URLs leading to their content for authentication purposes. You need to add these identifiers to the Intota Database Details page for relevant resources. In some cases, you will also need notify ProQuest so that we can register the identifiers for use in title-level URLs.

    If these settings are not in place, your users may encounter broken links, or they may be prompted to log into the resource even though they are already authenticated.
    How?
    Review the list of Databases that Require Custom Configurations to find out if any of your resources require special entries in the in your Intota Profile. If so, follow the instructions provided to ensure that your resources are configured correctly.
    You can review your current settings by running and downloading a Database Details report from the Management Reports area of Intota.

    Existing Clients: Ask ProQuest to turn off any " Use database-level for all titles" settings your library may have turned on.

    Why?
    If the option to Use database-level (custom or default) URL only for all titles in this database is on, your title-level links will go to the Database default page rather than to the specific title. This type of linking is undesirable and inconvenient for users; however, if your library uses Dynix RPA for remote authentication, you will need to select this option.
    How?
    In the Management Reports area of Intota, run and download a Database Details Report. Review the settings under the "Use database-level for all titles" column.

    If Yes appears for any of your databases, use the Support Portal option above and ask us to turn this setting Off and correct any title-level linking problems that may have prompted selection of this setting in the past.

    Omit your proxy from resources that do not require authentication.

    Recommended
    Why?
    Avoid authentication errors by omitting your proxy from resources that do not need to be proxied. Typically, this includes databases containing open-access content such as the databases listed in 360 KB: Databases of Free E-journals and E-books.
    How?
    Use the Database Details Page to turn OFF your Library Proxy for resources that you do not want proxied.

    You can review your current settings by running and downloading a Database Details report from the Management Reports area of Intota.

    Add Custom Database Names, Custom Database Descriptions, and Public Notes.

    Why?
    Enter your own custom database names, descriptions, and public notes to help your users identify important resources and see useful information about these resources in your Discovery Services.
    How?
    Enter text into the appropriate fields in the Database Details Page and configure the display of those fields by reviewing the articles in the Additional Information section below.

    You can review your current settings by running and downloading a Database Details report from the Management Reports area of Intota.
