    • Product: RapidILL

    Keywords: RapidILL, lending, limits, copyright

    Story:

There are occasions where a lender receives multiple requests for the same book or journal issue from the same borrower in a short period of time, each request for a different chapter or article.
For Article and Book Chapter requests, lending libraries are able to limit the number of such requests they are assigned from the same borrower within a specified amount of time.

    Solution:

    Configuration

Lenders are able to configure how many requests to allow for a specified title, from a single borrower, within a specified number of hours.
This configuration is in the Copyright Settings section of the My Profile page (Settings → My Profile → Copyright Settings):

    Lending Request Limits configuration

    Configuration notes

    • These lending limits are only applied if the checkbox is "checked".
    • The "Number of requests" is configurable with a range from 1-100 requests. The default value is 5 requests.
    • The "Duration of time in hours" is configurable with a range from 1-168 hours (= 1 week limit). The default value is 72 hours.

    Duplicate Request Identification

Requests are identified as "duplicate requests" using the following request keys:
    • Borrower symbol
    • Lender symbol
    • Standard numbers
    • Year / Volume / Issue
      • For articles: Year or Volume, and Issue
        • If both Year and Volume are sent, the Volume is used
        • If Issue is included, the match is at the Issue level
      • For Book Chapters: Volume level if provided

    Duplicate Request Identification and Notes:

    1. Borrower/lender symbol
      • Identification of duplicate requests works per borrower/lender RapidILL symbol combination.
    2. Standard Numbers
      • The system matches separately on each of the standard numbers stored for the request: ISSN / ISBN / OCLC.

    Integration in Request Workflow:

    Registration

The registration of a request is done on assignment to a lender. The expiry time for each request is also based on the assignment to a lender.
    Notes:
    1. Expiry time is based on lender configuration at the time of the registration. Changes to configuration only affects the expiry time of requests that are assigned to lenders after the configuration change.
    2. Resend requests re-register with new expiry time.
    3. Registration includes: all standard numbers provided by borrower, and all standard numbers on the matched holdings. Crossmatched standard numbers are not registered to maintain simplicity.
    4. Expiry clock is always running (no special logic for weekends, etc.).

    Deregistration

Requests will be deregistered (will no longer be counted for the lender’s “number of requests” limit) in the following scenarios:
    1. Registration expiry time arrived (according to the "duration of time" value in the lender's configuration.
    2. Unfilled request (by Lender, or via the standard automatic Unfill after 72 hours).
    3. Bad Citation (by Lender).
    4. Cancelled/Deleted request (by Borrower)
