    What determines if a bib or mfhd will be suppressed from OPAC when added to a PO?

    Question

    What determines if a bib or holdings(MFHD) will be suppressed from OPAC when added to a purchase order (PO)?

    Answer

    1. When line item is attached to an existing bib or MFHD in the database, the Suppress in OPAC checkbox for the record remains in its current status.
    2. When PO is created via BulkImport, the suppress settings in the BulkImport rule and in the Location settings will dictate the value of the Suppress in OPAC flag for the imported records. For example
      1. If the rule (Cataloging > Bulk Import Rules) has Suppress in OPAC checked, the bib record will be suppressed on import.
      2. If the MFHD location (System > Locations) is set to Suppress in OPAC, the mfhd will be suppressed when it is created.
    3. When a new bib record is added via the Acquisitions client, if the "OPAC display of temp records" checkbox in the Acquisition Policy Group for the Order Location of the PO
      1. ... is not checked, then any bib record added to the PO will be suppressed.
      2. ... is checked, then any bib record added to the PO will not be suppressed.
    4. When a new MFHD record is added to a Voyager database in the Acquisitions client, if the "OPAC display of temp records" checkbox in the Acquisitions Policy Group for the Intended Location of the line item
      1. ... is checked, then any MFHD record added to the line item will not be suppressed.
      2. ... is not checked, then any MFHD record added to the line item will be suppressed.

    These rules are independent. The MFHD can be suppressed regardless of the bib record's suppress status.

    New bibliographic records can be added to a Voyager database in the Acquisitions module from the purchase order window using the Add Line (Bib Import)" or "Add line (Template)" buttons. They may also add a new bibliographic record using the "Add Line (Bib Search)" button, when connecting to a remote database.
     
    When users choose "Add Line (Bib Search)," and search the local database, the bibliographic records they find are already part of the Voyager database; its "Suppress from OPAC" flag will not be affected by any activity in Acquisitions.
     
    New holdings records will be added to the database when an intended location in a line item does not match the location in the 852 $b field of any of the holdings attached to the bibliographic record attached to the line item. If there already is a holdings record with the same location code as the intended location, the copy on order will be linked to the existing holdings record. Since that record is already part of the Voyager database, its "Suppress from OPAC" flag will not be affected.
     
    The rules below will not apply when purchase order records are created as part of Bulk Import; instead, the Bulk Import rules and the global location settings for "Suppress from OPAC" will be used to determine the values of the OPAC suppression flags.
     
    When a new bibliographic record is added to a Voyager database in the Acquisitions client, the "Suppress from OPAC" flag is set based on this rule:
     
    First, remember that inside the Acquisitions Policy Group, every location has an "OPAC display of temp records" flag that libraries can check or not check. Every purchase order has an "Order Location" in the Acquisitions client. If the "Order Location" on a purchase order has the "OPAC display of temp records" check box checked in System Administration, then any bibliographic record that is added to the database will not have its "Suppress from OPAC" flag set.
     
    If, on the other hand, the "OPAC display of temp records" is not checked, the bibliographic record will have the "Suppress from OPAC" flag set.
     
    The "Order Location" only affects bibliographic records.
     
    When a new holdings record is added to the database in the Acquisitions client, its "Suppress from OPAC" flag is set based on the following rule:
     
    Every copy on order has an "Intended Location" at the line item level. If the intended location has its "OPAC display of temp records" check box checked in System Administration, then a new holdings record will not have its "Suppress from OPAC" flag set. If the intended location does not have its "OPAC display of temp records" check box checked, a new holdings record will have its "Suppress from OPAC" flag checked (record will be Suppressed from OPAC).
     
    The "Intended location" only affects holdings records.
     
    These rules are independent.
     
    The holdings record will have its "Suppress from OPAC" flag set regardless of the setting of the bibliographic record's flag. This can lead to bibliographic records that are visible in the OPAC while holdings records are not, and holdings records that are not suppressed while their associated bibliographic records are.
