360 Consortium Edition: Sharing and Inheritance Report
- Product: 360 Consortium Edition
How does a consortia library run a report to see which objects have been shared with member libraries?
A special Sharing and Inheritance report is available in Consortium Managers and Hybrid Manager/Member profiles in the Client Center. (It is one of many Reports available to 360 Resource Manager clients, and the only report available to 360 Search consortium managers.)
From the Client Center Home page, go to the Business Intelligence Tools section and click Manager Reports. Use the pull-down menu and select Sharing and Inheritance. Rename the report if desired and click Request Report.
Once the report becomes available, click Download Report. Once on your computer, you will need to uncompress (unzip) the zip file. Some computers automatically uncompress a file when you try to open it; if yours doesn't, you may need to use an unzipping application. Once unzipped, the report is a comma-separated values (.csv) file, which you can open with a spreadsheet program (like Microsoft Excel).
The Sharing and Inheritance report contains the following fields, which will display as separate columns in a spreadsheet:
Object Type: This column will populate with the type of resource: Database, License, Note, Contact or 360 Search. All databases with a resources status of something other than "Not Tracked", Licenses, Notes, Contacts and 360 Search configurations will get a row, regardless of whether they have been shared or not.
Database Provider (for Databases Only): Name of company providing the database or "N/A" for non Database objects.
Object Name: Name of the shared or not shared resource.
Attached Resources: This field is populated when the License, Note or Contact has attachments. If there are no attachments, the field will show "None". "N/A" will display for Databases and 360 Search objects as these cannot have attachments.
Origin: The consortium sharing the object.
Origin Library Code: The Serials Solutions unique identifier for the Consortium Manager profile.
Hybrid: If a resource is shared from a Consortium to a Hybrid Consortium, this column will populate with the Library Name for the relevant Hybrid.
If the resource is shared directly from a Consortium to a Member Library with no Hybrid in between, the column will populate with "Not Shared". The column will also populate with Not Shared when the report is being viewed by a Hybrid and the Origin for the resource is local. Finally, this column will read "Not Shared" for items that haven't been shared at all (are purely local).
Hybrid Library Code: The Serials Solutions unique identifier for the Hybrid profile.
Date Shared with Hybrid: This field populates with the date the resource was shared with the library in the Hybrid column. This column will read "Not Shared" for items that haven't been shared.
Date Inherited by Hybrid: This field populates with the date the library in the Hybrid column inherits the resource. This column will read "Not Inherited" when something has been shared (there is a date in the Date Shared with Hybrid column) but not inherited. This column will read "Not Shared" for items that haven't been shared.
Hybrid Pass-Through?:
- "Yes" if the library in the Hybrid column is a Pass-Through Hybrid
- "No" if the library in the Hybrid column is a non-Pass-Through Hybrid
- "Not Shared" if there is no library in the Hybrid column
- "Not Shared" if the item hasn't been shared
Member: This column will read "Not Shared" for items that haven't been shared. Otherwise, this column will populated with the name of the member library to which the item has been shared.
Member Library Code: The unique Serials Solutions identifier of the member library.
Date Shared with Member: Populates with the date the resource was shared with the member. This column will read "Not Shared" for items that haven't been shared.
Date Inherited by Member: This field populates with the date the library in the Shared With column inherits the resource. This column will read "Not Shared" for items that haven't been shared.
Member Auto-Accept?:
- "Yes" if the library in the Shared With column has Auto-Accept enabled
- "No" if the library in the Shared With column has Auto-Accept disabled
- "Not Shared" if the item hasn't been shared
