    360 Search: Link-Only Databases

    • Product: 360 Search

Can I add a database to 360 Search when no federated-search connection is available?

We offer a "link-only" database feature that allows libraries to include links from their 360 Search interface to the native interfaces of any database, whether or not we have a federated-search connection to that database, and even if we don't have the database in our 360 KB.
The purpose of this feature is to enable the library to communicate to patrons that -- even though a particular database is not available for federated searching -- the patrons can still access that database by clicking on this link to its native interface.
The database name appears on a 360 Search page as a working web link without a checkbox next to it, like "Academic Journals" in the following screenshot:
360 Search - Basic Search with Link-Only Database
First, use the e-Catalog to find the database in Serials Solutions 360 KB by searching by Database and Name Begins With.
If the database isn't in 360 KB, skip down this document to the Database Not in 360 KB section (below). Otherwise, continue with the Database in 360 KB instructions.

    Database in 360 KB
    1. If the far-right column (Has Connection) for that database says, "Yes," then there already is a federated-search connection for that database:

If you'd like to add and configure the database so it can be searched with 360 Search, please see this document. If you want to only link to the database, then continue with these instructions.

    2. Click the name of the database.

    3. On the Database Details page, click Edit in the upper-right corner.

Database Details for a Link-Only database

    4. Change the Status from Not Tracked to Subscribed.

    5. Click Save in the upper-right corner.

    6. Click Edit again.

    7. Check the box for Display In: 360 Search.

NOTE: When a federated-search connection becomes available, the button "Request This Connection" will become "Connection Settings" and will link to the 360 Search Administration Console, where you can set up the federated-search connection.

    8. If the Default URL isn't the link you want patrons to use to access the provider's native interface, enter a Custom URL. You must use a fully qualified URL; for example, http://www.database.com/journalID

    9. If the Default Database Name isn't the one you want displayed to your patrons, enter a different display name in the Custom Database Name field.

    10. If desired, add a description in the Database Description field that your patrons will see on your 360 Search page. You can use HTML.

    11. Databases added as link-only can be included in any subject categories you configure in the Administration Console.

The link to the database will display in your 360 Search interface the following day. If you don't want to wait, you can see how it looks using the preview mode in the Administration Console.

    Database Not in 360 KB
If you want your patrons to be able to access a database from the 360 Search page that doesn't exist in Serials Solutions 360 KB, you can create a link-only type connection using this procedure:
    1. Use the e-Catalog again, but this time search for databases whose names begin with Link-Only. These are empty, placeholder databases you can use specifically for this purpose:

      E-Catalog Search - Link-Only

    2. Click on the name of one of the databases, for example, Link-Only Database 1.

    3. On the Database Details page, click Edit in the upper-right corner.

    4. Change the Status from Not Tracked to Subscribed.

    5. Click Save in the upper-right corner.

    6. Click Edit again.

    7. Check the box for Display In: 360 Search. The other 360 Services should remain unchecked. You will also need to go to the E-Journal Portal Database List in the Administration Console and uncheck the database, unless you want patrons to access that database from your E-Journal Portal in addition to 360 Search.

    8. In the Custom URL field, enter the URL your patrons will use to access the database. You must use a fully qualified URL; for example, http://www.database.com/journalID

    9. Because you probably won't want your patrons to see the database's name "Link-Only Database 1," enter a different display name in the Custom Database Name field.

NOTE: The database will still be listed in your Data Management page as Link-Only Database 1; the custom database name only appears on the patron-facing 360 Search page.
