Overview

Alma Fulfillment and Resource Sharing features allow patrons to quickly and easily access resources in all formats, utilizing library-managed resources as well as resources the library can obtain from external sources.

Manage Patron Services Screen – New UI is Default      

What’s New Highlights Impact

New Patron Services User Interface

In this phase of the UX rollout, the new UX will be activated by default in the February release, but it will still be possible for institutions and individual users to deactivate it if they choose to do so.

In the May release, the new UX will be the only usable UX.

Quicker and more effective work at the circulation desk, using a cleaner and improved personalized Patron Services page.

Toggle Item "Missing" Status of Non-Available Items

What’s New Highlights Impact

An option to toggle "Missing" status will be available even if the item is currently not available.

The option to toggle "Missing" status will be available from the items search result and the items list even if the item is currently not available.

Easier and more efficient missing status toggling.

User Management: Enhanced Users Search with Relative Date Operators

What’s New Highlights Impact

Introducing new relative date search operators for key date-related search indexes, enabling users to perform more dynamic and flexible searches based on time ranges.

New user search relative-date operators:

    • "Is Within the Last (days)"

    • "Is Older Than (days)"

    • "Is Within the Next (days)"

  • Users can input a numeric value to define the time range (where zero represents "today").

  • Enables the creation of "moving-wall" Users sets to facilitate ongoing data management.

This enhancement provides greater flexibility in search capabilities, enabling users to efficiently filter and retrieve records based on relative timeframes. The introduction of relative date operators simplifies complex queries and improves workflow efficiency for managing time-based data.

User Management: Update the Last Activity Date at the Login 

What’s New Highlights Impact

The last activity date will be updated whenever a user logs into Primo or Alma, regardless of the login method used.

  • Comprehensive Tracking: This feature will update the last activity date for all login methods, including institutional identity providers, social logins, and Ex Libris Identity Service.

  • Broad compatibility: supports LDAP, SAML, CAS, OpenID Connect, Google, Facebook, and email-based logins.

  • Improved Reporting: Enables accurate reporting on user activity for better account management.

This enhancement allows libraries to accurately identify active patrons based on recent login activity, facilitating more effective user account management and purging of inactive accounts.

Waive Fines/Fees in Bulk by Set

What’s New Highlights Impact

Waiving fines based on additional criteria or based on  an input file.

It will be possible to waive fines based on additional criteria, such as a Users set or a date range. In addition, it will be possible to waive a known set of fees that are listed in an Analytics report.

Enhanced flexibility in processing fees that have been identified as waived fees.

Additional Library Controlled Request ID

What’s New Highlights Impact

An additional ID will be added to requests. The institution will be able to control different attributes of the ID.

A new request ID will be assignable to requests. The institution will be able to set the maximum number after which the ID will reset, as well as a prefix and a padding option for the ID.

Better control over the IDs that are used to sort request lists.

Request Policy for "Last Interest Period"

What’s New Highlights Impact

In addition to being able to set the "Not Needed After" field as mandatory on the request form, it will also be possible to set a default policy for this field.

It will be possible to hide the "Not Needed After" field from the Primo VE request form and have Alma use a date that is set by a library policy.

Improved efficiency for request queues. The library can set highly requested items to have short expiration dates so they do not get sent to the hold shelf if time passes until they can be fulfilled.

Prevent Requests When Loans are Blocked

What’s New Highlights Impact

An option to set the system to block requesting items that have loan policies or a block that prevents loaning the item.

A configurable parameter will support setting the system to check the patron's permissions to loan. If the patron cannot loan the item, requesting will also not be allowed.

Improved request service for library patrons by  being unable to request items they are currently blocked from loaning.

User Management: Advanced User Search by Role and Scope

What’s New Highlights Impact

The Advanced Search functionality will include searching for users by their roles and scopes.

  • New Search Indexes: The Advanced Search menu will include 'User Role' and 'Scope' as searchable indexes.

  • Flexible Conditions: This will support conditions such as Equal, Not-Equal, Is Empty, and Is Not Empty for precise filtering.

  • Comprehensive Role and Scope Lists: Will allow multiple selections and include all roles and scopes, with options to group roles by module.

This enhancement empowers libraries to locate users based on specific roles and scopes, improving user management and operational efficiency.

User Management: Enhanced User List Sorting by First, Middle, and Last Name

What’s New Highlights Impact

The user list will be enhanced to be sorted by first, last, and middle names, accommodating specific regional requirements where the last name, for example, is common for many users.

  • New Sorting Options: The Find and Manage Users interface will get three new columns: First Name, Last Name, and Middle Name.

  • Customizable Display: Users can select and sort these new columns in ascending or descending order.

This enhancement will allow for more flexible and region-specific sorting of user lists, improving usability and meeting the needs of diverse user bases.

User Management: Scheduled Purge User Records Job

What’s New Highlights Impact

The Purge User Records job will be enhanced to include scheduling and run automatically, eliminating the need for manual activation.

  • New Scheduling Section: Add a 'Schedule' section to the Purge User Records job interface.

  • Automated Execution: This will allow staff to set up automatic job runs without requiring manual intervention.

  • Error Checking: This will include checks for missing scheduling information with error messages to guide users.

This enhancement streamlines the process of purging user records by enabling automated scheduling, reducing manual workload, and ensuring timely job execution.

Override Hold Policies by Staff

What’s New Highlights Impact

An option for staff to override policy-related blocks that prevent placing hold requests.

A button on the Alma request form will enable staff to override requestability/limit hold policies. Clicking the button will enable submitting the request while overlooking the preventing policy.

More flexibility in handling requests by having the option to override a situation where the request is not possible because of request policies.

Alert When Changing Due Date of Recalled Loan

An option to configure a warning that pops up when the Change Due Date is used on a recalled loan. 

It will be possible to set the system to warn if a due date for a recalled item is changed at the circulation desk.

Better loan service clarity by preventing manual change of due dates for already recalled items.

Proxy Loan Navigation Improvements

What’s New Highlights Impact

Improvements with using a proxy patron account in Manage Patron Services.

It will be possible to easily identify a proxy patron at the circulation desk and choose the sponsor on whose behalf an item is checked out.

Loan Period Sensitive Courtesy and  Overdue Notices for Short Loans

What’s New Highlights Impact

It will be possible to configure the courtesy and overdue reminders for short loans as a percentage of the loan period instead of in exact minutes.

It will be possible to set the courtesy and overdue message for short loans to be set by a percentage of the loan period. For example, a value of 50% would cause a two-hour loan to have an overdue message to be sent one hour after due time.

Courtesy and overdue messages for short loans will better match the specific loan's due time, resulting in clearer messages to the patrons.

 User Management: Purge Users Based on User Sets

What’s New Highlights Impact

Institutions can perform user purges based on predefined Users sets. This enhancement allows for greater flexibility and precision in user management by enabling bulk deletions using standard purge validations and the configured delete user policy.

  • Enables purging of user records based on selected user sets.

  • Utilizes standard purge validations to ensure compliance with institutional policies.

  • Provides enhanced flexibility compared to the existing purge job, which is limited to user record types and user groups.

This feature empowers institutions to streamline their user management processes by providing more granular control over user record deletions. It helps optimize system performance and maintain data accuracy by allowing targeted purging of user records according to specific criteria.

 User Management: Expiration Date for Proxy Relationships

What’s New Highlights Impact

Proxy relationships between patron accounts will get an expiration date, ensuring they automatically expire after a set period.

  • Expiration Date Field:  An expiration date field will be added to the Proxies tab in the user form and API.

  • Automatic Expiry: Proxy relationships will be considered inactive and ignored by the system after the expiration date.

  • Editable Expiry Date: This will allow editing of the expiration date directly in the Proxies tab.

This enhancement enables academic institutions to manage proxy relationships more effectively by setting automatic expiration dates, ensuring permissions do not extend indefinitely and align with academic schedules.
