    My Object Portfolio was Deleted but I Should Still Have Access

    We have identified a scenario where certain metadata changes to the primary identifiers (such as ISBN) trigger specific Object Portfolios to be deleted from the SFX KB, causing those Object Portfolio holdings to be deleted, despite the access still being available from the provider.

     

    For providers who supply unique provider identifiers we have been able to design a fix that will identify the specific record continuity based on the provider identifier, despite the primary system identifier (e.g. ISBN) having been modified.

     

    This is a relatively complex scenario which can only be resolved at this time for providers whose system identifier we are processing.

    Until the fix is released, we advise the following for institutions who are affected by this. 

     

    Monitor the SFX Revision Update reports and filter by ‘Deleted’ ‘Portfolios’ that are ‘active/localized only’.

    You will get a list of these portfolios in either HTML or TXT format, as described in the SFX General Users Guide > Update reports section.

    You can manually add the portfolios back to your SFX instance as local portfolios using KBManager> Alternatively, you can use Dataloader with the TXT version of this report as load file.
    To do this, generate first a TXT report:

    Open the TXT report and remove all except the portfolios you want to keep, for the target service of your choice – with the following information:

    OBJECT ID, GLOBAL PARSE PARAM, GLOBAL THRESHOLD, ACTIVATION STATUS

    Save this as a tab delimited file and run dataloader with the following options selected to create the local portfolios:

    If you have added local information such as thresholds, or note/authentication information, you will need to keep this information in the dataloader load file as well. More information about Dataloader is described in the SFX General Users Guide > KBTools > Dataloader > Portfolios section.
