    How To Export Bib Records for Processing" has outdated/incorrect information.

    Description:
    The document "How To Export Bib Records for Processing" (Doc Portal -- How To -- Cataloging) needs to be updated.

    In section 1.3 ("p_print_03") change this line from:

    • For "Format" specify "MARC"

    to:

    • For "Format" specify "MARC with alphanumeric tags". This is to preserve the OWN, LKR, CAT, etc., fields in your bib records. (If your vendor doesn't support alphabetic tags, they will be dropped in this process. See below.)


    In section 2 ("Bib Import")

    Delete #5 ("If you are loading corrected bib records ..."). We have found that failing to do this processing can cause problems.

    Add this to replace this deleted #5:

    5. If you specified "MARC with alphanumerc tags" in the p_print_03 export (see above) and if your vendor preserved the alphabetic tags, then nothing special needs to be done. But if these vendor-processed records lack the alphabetic tags (OWN, LKR, CAT, etc.), then you will need to *merge* the incoming records with the existing records. This can be done in one of two ways:

    1. by running p_manage_38 as a separate step after p_file_02 and before p_manage_18; or

    2. by running p_manage_18 specifying "MERGE" as the "If Updating Current Records" value and then specifying a tab_merge "Merge/Preferred Routine" which you create (with the existing alphabetic tags being preserved).

    Resolution:
    Documentation team changed the document as requested..
