    RDA - preparation for incoming OCLC RDA records (starting April 1, 2013)

    Question

    What needs to be done in Aleph to prepare for the exporting of records in RDA (Resource Description and Access) format by OCLC, starting April 1, 2013?

    "OCLC has updated their policy on RDA and AACR2 records to coincide with upcoming changes at the Library of Congress. Link to the revised policy: http://www.oclc.org/us/en/rda/new-policy.htm " ?

    What will happen if we don't make the changes by Monday?

    Answer

    If the changes aren't made by Monday, April 1, catalogers will get the Doc Validation Errors "Field tag not valid" and "Field 'nnn' contains sub field 'x' which is not allowed" when saving records containing the new tags/subfields. However -- unless the Error Code has been changed to "M" in check_doc_mandatory --, the error *will* be overridable. So the consequences are not so great.

    As described below, the RDA changes have been present in the usm01, usm10, and usm60 $data_tab and $data_root/pc_tab/catalog/ directories for some time. It may be that these changes were incorporated into your own u-tree files in previous years {possibly by AIN (Automatic Implementation Notes) (util SP 5/7)} in the Service Pack process}.

    To see whether you have the changes do the following spot-checks:

    > dlib xxx01 (your bib library)
    > cd $data_root/pc_tab/catalog/html
    > ls 363*
    > ls 384*
    > view 800_xx_eng.html -- is there a $5?

    If the 363 and 384 are not present and there's no $5 in 800_xx_eng.html, then the RDA changes have not been systematically implemented, and you should follow the instructions included below. If they *are* present, you may want to check some additional fields to confirm that you have all of them....

    * Version 21: Aleph tables updated for RDA were included in the original v21 usm01, usm10, and usm60 $data_tab and $data_root/pc_tab/catalog/ directories (with rep_ver 18007). The

    To see exactly *which* files changed with this rep_ver, consult the v20 rep_changes below.

    * Version 20: RDA was incorporated into the usm01, usm10, and usm60 $data_tab and $data_root/pc_tab/catalog/ files as part of rep_change's 3036, 3039, and 3040 -- included in v20 Minor Release 20.2, SP 3135, August 2010. These rep_change's are attached to this KB record.

    Please see the attachment with instructions to incorporate the changes into your own xxx01, xxx10, and xxx60 libraries in either version 20 or 21.  It includes changed files from all three rep_change's (3036, 3039, and 3040) and also the descriptions of the rep_changes.  Note:  Most of the changes are updates to existing tags.  To prevent the loss of any local changes, we suggest showing the list of changes to catalogers to see if the files have been locally modified.
