    Enabling Collection Development Workflows

    Collection development workflows are accessed from the Collection Development menu in Alma. While this menu includes Rialto actions for institutions that have implemented the Rialto Marketplace, the workflows are available to all Alma users.

    Collection development workflows only appear once an Alma administrator updates the institution’s Data Sharing Profile settings. To enable workflows, follow these steps:

    1. Navigate to Configuration > General > General Configuration > Data Sharing Profile.
    2. Locate the Collection Analysis and Development section at the top of the page.
    3. Select Yes, and then Save (by default, this setting is set to No).

    By opting in, your institution agrees to share title- and holdings-level data for use in collaborative collection development. This data is used solely to compare an institution’s holdings with those of other participating institutions and to support activities such as:

    • Generating retention and deselection recommendations
    • Benchmarking against peer institutions
    • Creating reports for participating institutions

    Holdings and records are not directly visible to other institutions. Instead, shared data consists of bibliographic and holdings metadata such as titles, authors, imprints, classification numbers, and information indicating which libraries hold the item. No personal data is shared, and records that are suppressed in Alma remain hidden within these workflows, just as they are in discovery.

    Once you opt in, workflows become visible in the Collection Development menu in the Alma navigation bar to all users with the Collection Development Manager role. See Adding Roles to Users to learn how to assign the Collection Development Manager role to users.
