Letters and Slips Appear in Task Manager Local Files

    • Article Type: General
    • Product: Aleph
    • Product Version: 17.01

    Description:
In Version 15.5, the letters and slips that pop up in the client do not appear in the Task Manager Local files upper window pane. These are the files with extension .prn. In the client, they are stored under \CIRC\files\XXX50\print. In Version 17, the letters and slips do appear in the Task Manager Local files. The upper window quickly fills up, making it difficult to find needed reports that have been downloaded. Deleting each file at the end of each day is very time consuming. It is also not needed, as these files can be retrieved under Print History if needed.
Is there any way to make the files that have the .prn extensions not appear in Task Manager?

    Resolution:
In pre-16 versions, there was a separate directory structure for the Task Manager (then called the Job Manager). This no longer exists.

Using the Circulation module as an example, there are two locations for print files:

[1] \AL500\CIRC\files\xxx50\print – Contains the “bulk files transferred from the server (can contain multiple xmlxsl files) and individual PRN files. Only emptied manually by the computer user.

[2] \AL500\ALEPHCOM\files\[xxx]50\print\history\[yyyymmdd]\[hh] – Contains the individual XMLXSL form files created every time a print or preview command is issued. Emptied automatically by \AL500\ALEPHCOM\tab\alephcom.ini > [Print] SaveHistoryNumberOfDays.

Again using Circulation as the example, the creation of PRN files is controlled by \AL500\CIRC\tab\print.ini.

If the following lines appear in that print.ini
    BorLetterCARD 00 N P brltrCRD.prn
    BorLetter 00 N P brltr.prn
then when the Letter button > Library Card option is selected from the Global Patron Information pane, the brltrCRD.prn file will be created in AL500\CIRC\files\xxx50\print. Every time you click the same button, the same brltrCRD.prn will be overwritten. Only one copy of the file will ever exist.

If only the following line appears in that print.ini
    BorLetter 00 N P brltr.prn
then selecting the Letter button > Library Card option from the Global Patron Information pane will create the brltr.prn, as will selecting any of the other letter options – in other words, less PRN files will be created because the same one is always overwritten.

If neither of the BorLetter lines appears in that print.ini, then selecting either of the printing options mentioned above will print to default.prn. Any form whose name does not appear in that print.ini file prints to the default.prn file.

So, if you do not need any of those PRN files or any of the other controls in the print.ini file, simply remove those lines or “remark them out (with !) and you will have less files cluttering your print directory.

Obviously, you could also enter "default.prn" in the above line instead of "brltr.prn".
