Analytics report only retrieves one PO Line even though the bib record has two linked PO Lines in Alma

    • Product: Alma

    Question

I have a bib record in Alma that is linked to two PO Lines.
But when I create a report in Analytics, in the Funds subject area, it only retrieves one of the PO Lines.
    Why is this happening?

    Answer

In the Funds subject area, you can only retrieve PO Lines that are linked to a fund.
    More detailed:
If you will try to retrieve ONLY the po_line - you will see them both, but once you try and add something to the report from another folder, only the one which has a fund connected to it will appear, as this is a *Fund* subject area.

Applying this to the specific example from your bib record:

In Alma, the bib record MMS ID XYZ has three linked holdings records with 34 items and is linked to two PO Lines:
    - order number 1234 (status "closed" ; linked to fund "Professions Print" ; not linked to any holdings)
    - order number POL-56789 (status "Waiting for Renewal" ; not linked to any fund ; linked to holdings " Main Library / Main location")

    --> Checking it in Analytics:

    1)
    In subject area “Funds Expenditure”

Create report with columns "PO Line Reference", "Status" from the "PO Line" folder.

When I filter by MMS ID, only the POL with fund is found.

When I filter by the POL number of the POL without fund, the POL is successfully found.
When I then add a column for "MMS ID" from the "Bibliographic details" folder, the report is empty.

    2)
    In subject area “Physical Items”

Create report with column "PO Line Reference".

When I filter by MMS ID, only the POL that is linked to a holdings is found.

When I filter by the POL number of the POL without holdings, the POL is successfully found.
When I then add a column for "MMS ID" from the "Bibliographic details" folder, the report is empty.
