    Consortium Case Sharing in Support Center

    Consortia have requested the ability to collaborate and share visibility on cases impacting multiple members or institutions within the consortium.  Consortia case sharing requires an account review and set-up from Ex Libris as well as an opt-in for each shared case.  

    This article describes this functionality including: 

    • What is consortia case sharing? 

    • How is a consortia case sharing user different than other Support Center users?

    Note: This functionality is in development and will be available late in the fourth quarter of 2023.

     

    What is consortia case sharing?  

    Consortia case sharing provides the ability to share visibility for specified cases with partner institutions in your consortium.  This functionality requires special licensing in Support Center and a specific account set-up.    

    Once set-up is complete, users are granted permissions to view cases for participating consortia members.  Our recommendation is no more than one user at each institution needs this level of visibility.  Ex Libris will periodically review access and verify user relevancy. 

     

    How is a consortia case sharing user different than other Support Center users?  

    In Support Center, visibility and management of cases can differ in the following ways:  

    • Basic User: Self-registered user who can manage their own cases. 

    • Standard User: Registered user who has been granted permissions to manage cases for an institution. 

    • Consortia User: Registered user who has been granted permissions to manage cases for own institution and view shared cases for participating consortia members. This user requires special permissions and set up by Ex Libris.  

     

    How can my consortia participate in case sharing? 

    Please log a case in Support center requesting the enablement of case sharing for your consortia.  The request will be reviewed by your regional support director.    

    Issue Type: Access 

    Summary: Set up case sharing for <name> consortium 

    Description:  Please enable case sharing for the <consortium parent account name> consortium.  

    Users who should have access to the shared cases are:<list contacts> 

     

    How to share our cases with our partner institutions? 

    Once case sharing is configured for your consortium, the participating users will see an additional option on the cases. 

    When creating a new case, a "Share with" dropdown field will be available in the form. The available options are: 

    • My Institution (default value) – case will be visible to users from your institution only 

    • <Consortia name> – case will be visible to users from other institutions in the consortium  

    You can select the case sharing level when creating the case and edit it at any point in time if needed.

    When viewing a case, you will be able to change the sharing setting by clicking the "Share Case" button:

    A pop-up will appear with a dropdown list. Select the value with the name of your consortium to share with other member institutions.

    Note: The option to share cases will be available for all users in the consortium, not only to consortium user. 

    Shared cases will only be visible to users who were defined to have access to consortium cases. 

     

    How do consortium users view shared cases? 

    Access to shared cases requires special licensing in Support Center so shared cases are only visible to users who were granted permissions by Ex Libris.  Users granted consortia case sharing permissions will also have access to shared cases by other members of the consortia.   

    1. Log into the Support Center and go to the "Manage Cases" tab 

    1. Use the "Consortium/Partner Cases (Support Center)" list to see shared cases from other consortium members 

    Note: This list view contains all shared cases. If you wish to see only open cases, please clone the list to create a custom view. For more details see - Working with Support Center Case List Views 

     

    How to remove a case from case sharing? 

    If you wish to remove a case from consortia sharing, open the case under the “Manage Cases” tab.  Change the sharing setting by clicking the "Share Case" button.  Select “My Institution” and the case will be only visible to registered Support Center users from your institution.  

     

    How to remove a user with consortia shared case access? 

    If you need to inactivate a user with access to shared consortia cases, please contact Ex Libris support to remove the license and inactivate the contact record.
