Preventing authority overlay based on 1XX (preserving local changes)

    • Article Type: General
    • Product: Aleph
    • Product Version: 19.01

    Description:
Is it possible to set authorities so that records don't overlay if they match on 1XX? Our concern is that currently all fields that we add to
enhance an authority record are lost in the overlay process ... Is there a way to set this up so that we don't lose our enhancements?

    Resolution:
[From Anastasia Guimaraes, Notre Dame -- on ALEPH-NA list:]

We use vendor records for authority control and load them into Aleph daily. There are certain fields in authority records that we prevent from overlaying, for example some local fields we add and 644-646 fields in series records because we occasionally set up local series treatments that are different from LC's. The drawback is that you end up with multiple fields in a record. Every time a record is overlaid the protected fields remain in the record while at the same time new ones come in. We then do manual clean up if needed deleting duplicate fields. We have never protected whole authority records from being overlaid.

To protect fields from overlaying in authority records we adjusted tab_merge_overlay table.
