    Question

When is an email notification sent to a POLine's Interested Users?

    Answer

The notification for a PO Line's Interested Users is sent as follows:

    • Electronic materials:
      •  "Notify User Upon Receiving/Activation" triggers the "Interested In Letter" when the task, found in the "Electronic Resources Activation Task List", is activated, and "Done".
    • For Physical materials,
      • "Notify User Upon Receiving/Activation" offers two options:
        •  Receiving: Notification is sent when the item is received in the Acquisition Department.
          • If the item is still "In Process Items" (can be found in "Receiving in Department"), email is sent when the task is "Done".
        • Hold Item", a Physical Item Request notification will be sent to the user when the new item went through Scan In at the item location's Circulation Desk, and the Hold Item option is checked.
    • Note:
      • "Notify upon cancelation" - means that the Interested User will be notified, if the POL is canceled.
      • If the PO line was created via a purchase request, the Notify user upon receiving/activation and Notify upon cancelation are enabled by default. If the purchase request was a physical type, the hold item checkbox on the interested users tab will not be enabled.
      • When creating a hold request for the interested users in the POL, the order in the queue will be the same, meaning the first user who was entered will be the first to have a hold request and the last person entered will be the last to have a hold request.
