    Intota: Interlibrary Shared Resources: Sharing and Inheritance Report

    How does a manager library using Intota Shared Resources run a report to see which databases and licenses have been shared with member libraries?

    If a library subscribes to Intota's Interlibrary Shared Resources feature set for sharing resources amongst profiles of libraries that work collectively, the manager library can utilize the Sharing and Inheritance report to see which resources have been shared with member libraries.

    The Sharing and Inheritance report is accessed from the Management Reports menu (use the Management Reports documentation for additional information on receiving and opening a management report).

    Note that the Sharing and Inheritance report is currently used by a second set of users (libraries using the 360 Consortium Edition / Client Center to share resources with member libraries). As an Intota Shared Resources user, in the report you will see elements that apply only if your library has upgraded from the Client Center to Intota. There are also elements that relate to historical 360 Consortium Edition report features, which are called out in the rest of the documentation below.


    The notes in Rows 1 - 3 of the report state 360 Consortium Edition specifics. Intota Shared Resources shareable object types include databases and licenses.

    The rest of the report contains the following fields, which will display as columns of data in a spreadsheet:
    Object Type: The type of resource (Database or License).
    • Note and Contact are Object Types that display as well. While these items cannot be shared via Intota Shared Resources, this information can be helpful to libraries previously using 360 Consortium Edition.
    • Libraries previously using 360 Consortium Edition: If you also subscribed to 360 Search, you will see the Object Type 360 Search, since the report includes a historical view of 360 Search configurations that were set up in your Client Center profile.
    Database Provider: Name of company providing the database. "N/A" (Not Applicable) displays next to Licenses.
    Object Name: Name of the resource. Shared resources as well as resources currently not shared are included in the report.
    Attached Resources: This field is populated when a License is attached to database(s) in your Intota profile.
    • The Attached Resources field is also populated when a Note or Contact is attached to database(s). While a Note or Contact cannot be shared via Intota Shared Resources, this information can be helpful to libraries previously using 360 Consortium Edition. "N/A" (Not Applicable) displays for Databases.
    Origin: The manager library sharing the object.
    Origin Library Code: The ProQuest unique identifier for the Manager Library profile.

    The following columns provide a historical 360 Consortium Edition view of sharing activity with Hybrid libraries (member libraries that serve as manager libraries for other member libraries):
    Hybrid: If a resource is shared from a Consortium to a Hybrid Consortium, this column will populate with the Library Name for the relevant Hybrid.
    If the resource is shared directly from a Consortium to a Member Library with no Hybrid in between, the column will populate with "Not Shared". The column will also populate with Not Shared when the report is being viewed by a Hybrid and the Origin for the resource is local. Finally, this column will read "Not Shared" for items that haven't been shared at all (are purely local).
    Hybrid Library Code: The Serials Solutions unique identifier for the Hybrid profile.
    Date Shared with Hybrid: This field populates with the date the resource was shared with the library in the Hybrid column. This column will read "Not Shared" for items that haven't been shared.
    Date Inherited by Hybrid: This field populates with the date the library in the Hybrid column inherits the resource. This column will read "Not Inherited" when something has been shared (there is a date in the Date Shared with Hybrid column) but not inherited. This column will read "Not Shared" for items that haven't been shared.
    Hybrid Pass-Through?:
    • "Yes" if the library in the Hybrid column is a Pass-Through Hybrid
    • "No" if the library in the Hybrid column is a non-Pass-Through Hybrid
    • "Not Shared" if there is no library in the Hybrid column
    • "Not Shared" if the item hasn't been shared
    Member: This column will read "Not Shared" for items that have not been shared. Otherwise, this column will be populated with the name of the member library to which the item has been shared.
    Member Library Code: The unique ProQuest identifier of the member library.
    Date Shared with Member: The date the resource was shared with the member. This column will read "Not Shared" for items that have not been shared.
    Date Inherited by Member: The date the library in the Shared With column inherits the resource. This column will read "Not Shared" for items that have not been shared.
    Member Auto-Accept?:
    • "Yes" if the library in the Shared With column has Auto-Accept enabled and therefore the member library's profile automatically inherits a resource shared by the manager library.
    • "No" if the library in the Shared With column has Auto-Accept disabled and therefore the member library must manually inherit a resource shared by the manager library.
    • "Not Shared" if the item hasn't been shared.
