    360 Resource Manager and 360 Counter: Working with HARRASSOWITZ Data and the Cost Upload Tool

    How does the Cost Data Upload tool work in tandem with information from HARRASSOWITZ?

    This document is intended to help libraries take cost data from HARRASSOWITZ and merge it into 360 Resource Manager and 360 Counter using the Cost Data Upload Tool.
    NOTE: We have worked with HARRASSOWITZ to provide this information, but Serials Solutions cannot support the procedure because the steps involve services and software outside our control. They serve as an example that we hope can help your library, but they may not work for all libraries.
    1. Contact HARRASSOWITZ to initiate the process. They will ask you to send "template" files to them so that they can store identifiers and provide you with your cost data. At this time, you can also discuss with them any field-mapping requirements needed from step 2.

    2. The templates that HARRASSOWITZ needs are the Cost Upload Templates, populated with your collection information (databases and titles) and the Serials Solutions identifiers. These Template files can be downloaded from the Serials Solutions Cost Data Upload Tool:

      • If there are packages (databases) from HARRASSOWITZ for which you will want to apply a single cost and have it divided out amongst all titles, you will not need to enter costs at the title level. Instead, you will only upload the total cost and any associated fields (such as invoice numbers, payment types, and so forth) for the package. In these cases, you will want to use the Databases In Profile with Template file from the Cost Data Upload Tool. Open the file in a program like Excel (using these instructions). The files will contain the the active databases in your Serials Solutions profile and also include the Database Code needed for matching and uploading costs. Remove the databases that do not pertain to packages you pay for with HARRASSOWITZ.

      • If there are packages (databases) from HARRASSOWITZ for which you will want to track individual title costs, download the Database and Titles in Profile with Template file from the Cost Data Upload Tool, choosing the appropriate databases. Open the file in a program like Excel (using these instructions). The files will contain the titles to which you subscribe in each database, and also include the Database Code and Title Ids needed for matching and uploading costs.

    3. Send the downloaded template files to HARRASSOWITZ. They can then upload title and database IDs into their system if not already available.

    4. HARRASSOWITZ will run a custom report containing cost data that you specify so that it is in the appropriate format for Serials Solutions, and it will contain the required match points.

    5. After you have a completed file from HARRASSOWITZ, you can use the Serials Solutions' Cost Data Upload Tool to upload your files one by one and apply costs to packages and titles
    NOTE: The Template file you upload to Serials Solutions must contains all columns and cells, even if the values were left blank by HARRASSOWITZ.
