    Intota and 360 Core: Managing Ebook Central Titles with Territorial Rights

    Is there a way to automatically manage Ebook Central holdings affected by territorial rights?

    At times there are differences in the regional availability of some titles in ProQuest Ebooks subscription databases, which means that individual subscription collections listed in Client Center or Intota may not reflect your holdings with 100% accuracy. Because of this, end users may discover a title without the ability to view its full text. To resolve this issue, you could either manage the discovery of these titles individually in the affected database yourself or allow the Automated Holdings Management feature to manage the discovery of all subscribed titles from the Ebook Central Platform (EBC) and automatically filter out the titles to which you do not have territorial rights. A library participating in Automated Holdings Management will see their Client Center or Intota holdings updated daily.

    Configuring Automated Holdings Management for Subscribed Titles

    The Ebook Central All Subscribed Titles database (BBABE) supports auto-management of subscription titles from all EBC databases and filters out the titles to which you do not have territorial rights.

    When auto-management is enabled, the statuses for titles will be updated to either Subscribed or Not Tracked in the Ebook Central All Subscribed Titles database instead of the individual EBC databases through which you license the titles. You will continue to use the individual EBC databases to record e-resource management data (such as payments, renewals, contacts, notes, and so forth).

    When a title's status is set to Subscribed, it will inherit the Display In settings from the Ebook Central All Subscribed Titles database and appear in the following discovery services: E-Journal Portal, 360 Link, and/or Summon.

    To enable auto-management for subscribed titles in the Ebook Central All Subscribed Titles database:
    1. Search for and edit the Ebook Central All Subscribed Titles database (BBABE).

    2. On the Database Details page, change the Status field to a value other than Not Tracked, and then specify the following fields:

      • Select the We subscribe to only some of the titles in this database check box to enable the system to manage only the titles to which you have access.

      • In the Custom URL field, enter the following URL (using lowercase letters) and replace xxxxxx with your library's ProQuest Ebook Central Site ID:

        http://ebookcentral.proquest.com/lib/xxxxxx
    3. Submit a Case to enable the Automated Holdings Management feature for the Ebook Central All Subscribed Titles database (BBABE) and include your library's ProQuest Ebook Central Site ID. It will take approximately 3 - 5 business days to enable this functionality.

      Automated holdings updates are processed in the same manner as standard 360 Services and Summon discovery updates:

      • For 360 and Intota services: Once your holdings are processed in the daily Client Center data refresh, your updated holdings will be available to your end users.

      • For Summon: Once the Summon Index has received your updated holdings, your updated holdings will be available to your end users. Frequency of the Summon Index updating process is described in this article.

    4. After the Automated Holdings Management has been enabled, turn off the Display In discovery settings for the individual EBC database (such Academic Complete) to which your titles belong to prevent duplicate holdings in discovery.

    Considerations for 360 Resource Manager and Intota Clients

    Even though discovery will now be managed using the Ebook Central All Subscribed Titles database, the subscription databases that you license from Ebook Central should still be used to record e-resource management data (such as payments, renewals, contacts, notes, and so forth).

    Updated titles will display a status of Subscribed, but custom statuses (such as Purchased or License Negotiation) cannot be applied using Automated Holdings Management.

    Costs are not applied by Automated Holdings Management. It can be done manually only, and as mentioned above, you should add the cost data to the individually licensed database (such as Academic Complete).
