The field DCS Status appears for citations that have a DCS request in process or approved. In addition, an internal tag is added to the item with the status returned from the DCS.

  • The require_chapter_pages parameter was removed.
  • Additional failure messages were added for digitization requests sent to the DCS.

Instructor Course Rollover (Leganto)

August 2018 Leganto URM-6481500323060This feature must be enabled by your library.
When enabled, course rollover enables you to use existing reading lists for the next semester or academic year. A course rollover is different from assigning an existing reading list to a new course or duplicating an existing list and assigning the new list to a new course: in addition to copying a citation’s metadata and uploaded files, a course rollover ensures the transfer or reset of copyright records and data associated with the citations (such as tags, statuses, notes, and discussion threads), as defined by the library, from an existing reading list to the new one.
Rolling over a reading list does not change the old reading list.
A new reading list status, Rolled Over (code RolledOver), was added and can be used for rolled over reading lists (see the table, below).
For general information about Leganto course rollover and important information about handling links to the old and new lists, see Links to Leganto Reading Lists in Leganto Course Rollover.
To roll over a reading list (when enabled):
  1. Select Roll Over list in a reading list ... menu. The Roll Over dialog box appears. The dialog box appears slightly differently if you are an instructor or a librarian.
    roll_over_list_in_menu.png
Roll Over Dialog Box, Before Selecting a Course - Librarian
  2. If you are an instructor, select one of your courses from the drop-down list. If you are a librarian, enter/select a course.
The Roll Over dialog box refreshes with the available data operations that you can configure. Your library can enable or disable which of these options appear and the default values for each option. The values of any options that don't appear are configured by your library and cannot be changed.

  3. Select the desired method of handling each data operation, as follows.

    • Yes
    • No
When set to Yes, all existing permalinks point to the new (target) reading list after the rollover. There is no way for instructors and students to use these same permalinks to access the old (source) reading list. To ensure consistency, manually remove all permalinks for existing (and past) courses.
When set to No, all existing permalinks continue to point to the old (source) reading list. You must create new permalinks to point to the new reading list.

Reading List Sorting Enhancements

August 2018 Leganto SF: 00463479 00343562 00404230URM-65465
  • Course Code was added as an option when sorting on the My Lists page. When selected, reading lists appear in descending order by course code. For reading lists associated to multiple courses, the first course code that was associated to the list is used for the sort order. Reading lists without a course code appear last, sorted by last updated (descending). The default sorting order is set by your library.
  • You can now filter lists by course code on the My Lists page. When accessing Leganto from the CMS, the list is pre-filtered by the relevant course. In addition, only the reading lists of the relevant course appear to students.

Total Pages

August 2018 Leganto SF: 00520052URM-89469
When enabled by your library, the sum total of all pages of all citations appears at the top of a reading list and each section. The total includes the total pages of each citation that has pages defined. The total is determined from the Start Page and End Page fields; if either of these is not defined, the total is determined from the Pages field. Citations without pages, or whose pages cannot be parsed by Leganto, are not included in the total.

The total pages for a citation also appears on the citation page. When the total number of pages is entered manually, it appears as usual, for example: 11. When the total number of pages is calculated from the start and end page, it appears in parentheses, for example: (10). When both numbers are available, they appears with the manually added number, followed by the calculated number in parentheses, for example: 11 (10).

Default Statuses for Citations Enhancements

July 2018 Alma idea exchange Idea Exchange URM-86887
  • The Course Management Workflow mapping table was replaced with the Course Reserves Automatic Statuses mapping table. Most of the parameters were renamed and now enable you to enter the exact citation status (instead of selecting true, for Complete, or false).
  • The two uploaded parameters (one that presented a checkbox and one that determined whether the checkbox was selected by default) was replaced with a single parameter that functions like the other parameters in the table.
  • New parameters were added to set the default status of non-repository citations that are located, citations detached from the repository, citations whose list's status is set to Compete, or citations whose copyright status is marked as Approved.

Reading List Advisor and Reading List Tips

Reading List Advisor
When enabled by your library, Leganto displays the Reading List Advisor, a widget that appears in the right pane when viewing a reading list and that displays a suggested "level of completion" of the list.
Reading lists with complete information and easily accessible materials are easier for the library to fulfill and more useful for your students. The Reading List Advisor shows you the progress you have made in creating fulfillable and useful reading lists.

Enhanced Features for Adding and Editing

May 2018 Leganto URM-84105
Adding citations to your reading list or My Collection, as well as searching for and editing citations, has changed in this release. All actions previously performed in a pop-up pane are now performed in the right sidebar.
Select + at the top of a section to open tools in the right sidebar for managing your section. This button replaces the My Collection button that was previously in that location, as well as the + button that was previously available in each section. + is always visible and available to add citations to any section on the page. Select X at the top left of the sidebar to close these tools.

The right side panel contains several tabs. Each tab provides a features for locating and selecting citations to add to your reading list. The sidebar remains open during the entire process, until you close it.
In the Search tab, select Advanced Search to open the advanced search in the sidebar. Select the Create tab to create a new citation, also directly in the sidebar. Select the My Collection tab to drag items to your section. If you have configured external citation management systems, such as Zotero or Refworks, you can do the same from the More tab (not shown).
You can add citations to your sections in one of three ways:
  • When Searching for a citation or viewing citations in the My Collection or More tabs, you can drag and drop citations one at a time to any section in the list. Scroll the reading list to the place you want to add the citation before dragging and dropping.
  • Alternately, for each citation, select Add to list, select the section in the drop-down list and select Add. The default section in the drop-down list is the one currently visible in your reading list pane (if more than one is visble, it is the section whose title is closest to the middle of the page).
  • You can add multiple items as a group to one location in your reading list using My Bag, a temporary “book bag” (like a clipboard). Select Add to bag (instead of the default Add to list) and then select Bag It. The item is added to My Bag, and an icon representing My Bag appears at the top right of Leganto.
    item_added_to_bag.png

To avoid having to drag and drop citations, which can be difficult to do on smaller screens, you can perform a multi-step process to 1) select one or more sections or citations, and then 2) click to insert the selected citations below any other section or citation. The selected items are placed into a temporary clipboard, called My Bag. The actions in Leganto are presented as Bag It (to select the item, aka place it in My Bag), Unbag It (to unselect the item, aka remove it from My Bag), or move all items in My Bag from their existing locations to the selected location. My Bag is emptied after the items are moved.
To select and insert citations in a reading list:
  1. Select Bag It from the citation menu for each citation that you want to move.

Changes in Reading List Sets

As of the December 2018 release, most reading list sets created prior to this release continue to function. However:

  • If a set had a condition based on modification date, this condition was removed from the set.
  • If you edit a set created prior to this release, some of the conditions may not appear on the page. When you then save the set, these conditions are lost. Therefore, if you edit a set created prior to this release, ensure that all conditions appear on the page. If they do not, you must recreate them.

We are sorry for the inconvenience. We recommend re-creating any sets created prior to this release.

  • When you associate campuses with your course, the number of participants for the course is the total of the number of participants defined for all campuses associated with the course. In this case, the Number of Participants field on the Course Information tab of the Manage Course Information page is disabled.
    number_of_participants_field_disabled.png
If no campuses are associated with your course, or if all campuses have no defined participants, you control the number of participants in the Number of Participants field on the Course Information tab of the Manage Course Information page (which is the current functionality).
  • Campus was added as an available column (hidden by default), on the Courses, Course's Reading List, and Reading Lists Task List pages.
  • Campus was added to the header information on the Manage Course Information, Course's Reading List, and Edit Reading List pages. Course was also added to Course Information on the Manage Resource Options pane when managing fulfillment options for a citation. When the number of characters is too short to display the full list of campuses, the full list is available in a tooltip.
  • Campus and Campus Participants were added as columns in the Course Loader integration profile; see Configuring Course Loading. For multiple campuses, enter campus codes separated by commas. Enter participants separated by commas in the same order (corresponding to the campus codes). If you enter a campus code that does not exist in Alma, the code is still accepted; a warning appears in the job report, but the campus is created and appears in Alma with the name "<code> not found". You can edit the campus name, as usual.
  • The Course API now includes a campuses element:
    <campuses>
    <campus>
    <campus code></campus code>
    <campus name></campus name>
    <campus participants></campus participants>
    </campus>
    </campuses>
  • Campuses was added to Analytics.

Resource Sharing Requests for Citations

February 2018 Fulfillment - Course Reserves SF: 00412963URM-68917
You can now initiate a resource sharing request for a citation. Note that, to use this feature, a) Ex Libris must enable this feature for your institution, and b) your Course Reserves Operator or Manager role must be in the scope of the resource sharing library. For more information, see Managing Citations.
To create a resource sharing borrowing request for a citation: click the Resource Sharing Request citation action on the Edit Reading List page. The Resource Sharing Borrowing Request form appears. For more information see Creating a Borrowing Request. The form is prefilled with the citation information, as well as the parameter values of parameters starting with citation_rs_default_; see Other Settings.
  • Four new citation alerts related to resource sharing were added.
  • Four new customer parameters (starting with citation_rs_default_ ) were added to pre-fill certain information in the borrowing request, see Other Settings.
  • Reading list (reading_list) and citation (citation) codes were added to the Resource Sharing Receive Slip Letter; for the XSL, the codes are reading_list_name and citation_id; see Configuring Alma Letters.

Citations of Type Note

February 2018 Fulfillment - Course Reserves
Citations with the new type Note (citations whose material type is set to Note; see Configuring Citation Material Types) can be added by instructors in Leganto. They are used to provide information to the students who are viewing the reading list, and do not need to be fulfilled by the library staff.
They can also be added in Alma: add a non-repository citation and select the material type Note (or edit a citation to have this material type). More likely, you will see these types of citations after they are added to a reading list by an instructor.
The only actions you can perform on these citations are Edit and Remove. See Managing Citations.

Associating Reading Lists with Multiple Courses

June 2018 Alma SF: 00230641 00360137URM-61915
Starting with this release, Ex Libris introduces the ability to associate a reading list with multiple courses. This is useful for courses taught in different locations, and/or by different instructors and/or in different times, but that all share the same reading list.
In this release, only part of the full features are implemented. Currently, you can associate a reading list with multiple courses and you can see the combined total number of participants. The following features are not yet implemented: updating the list due back date, selecting the relevant course for a permalink, publishing the correct link to the reading list in Primo, searching for lists by course code, displaying the correct course code in the citation pages, copyright processing, request processing, digitization processing, job reports, purchasing, course rollover, notifications, pay-per-use, all Analytics, and all APIs.
  • To enable this feature, set multicourse_lists in the Leganto Customer Setting table (Configuration Menu > Fulfillment > Leganto > Customer Settings) to true.
  • When this feature is enabled and auto_set_instructors_as_owners is true, all instructors from all courses are added as collaborators to the list. If an instructor is associated with at least one course that is still associated with the list, the instructor remains a collaborator, even when you remove other lists with which this instructor is associated. If you manually add an instructor as a collaborator, the instructor remains a collaborator even if you remove all courses with which the instructor is associated.
  • When enabled, all associated courses appear in a reading list's Course Code and Course Name fields, in any other place in Alma that lists the course(s) associated to the list. If the list is too long to display, the full list appears in a tooltip. The total number of participants for a reading list is the total for all courses associated to the list.
  • A Courses tab was added to the Edit Reading List page to enable you to add and remove courses from the list.
  • Selecting Associate this list with a course on the Course's Reading List or Reading Lists Task List pages opens the Courses tab on the Edit Reading List page
  • Selecting Remove associated course on these pages opens the Courses tab on the Edit Reading List page ONLY if there are multiple courses associated with the list (so that you can select which one to remove). If there is only one course associated with the list when you select this option, that course is simply disassociated with the reading list, as usual.
  • On the Edit Citations page, searching for citations with an active course status will return all citations for which at least one of the courses associated to the citation is active.

  • You can configure what kinds of checks are performed and that contribute to the advisor's score on the Reading List Advisor Agenda Items mapping table (Configuration Menu > Fulfillment > Leganto > Reading List Advisor Agenda Items).
  • A scheduled job, UPDATE_READING_LIST_SCORE, runs each night to update scores of reading lists that were modified on the previous day.

Integrating Leganto with the Copyright Clearance Center

Jan 2018 Alma
The Copyright Clearance Center (CCC) is a U.S. company that provides collective copyright licensing services for users of copyrighted materials. When CCC integration is enabled, librarians can provide pay-per-use (PPU) access from Leganto to CCC licensed materials; this is typically less expensive than purchasing unrestricted electronic access to the material.
Ex Libris supports both funded and non-funded licenses for each citation. For funded licenses, the first access by a student to a licensed material is considered a pay-per-use transaction. Ex Libris maintains a list of all transactions and bills the institution on a monthly basis, passing the fee collected to the CCC. For non-funded licenses, the student can select to pay for access to the citation, directly in Leganto. Ex Libris also tracks these transactions.
Features:
  • CCC licenses are available to students in Leganto for uploaded materials. Note that CCC does not provide access to materials; you must already have the materials and be able to upload them (typically as PDF documents) to Alma/Leganto as citations.
  • Librarians can select from a list of matching CCC licenses based on a title or ID search.
  • For licenses restricted to a limited number of transactions, Leganto removes the access link to the material after this number is reached.
  • CCC licenses automatically expire a month after a course becomes inactive, or after six months from the day the license was obtained, whichever comes first.
  • In Alma, librarians can view transactions by item or by course. In Leganto, instructors can view the price of each item, as well as the total cost of materials in a reading list and the total amount spent as a result of student access in real time. For funded licenses, students do not see the material cost (or pay for the materials).
  • For non-funded licenses, students can add items to a shopping cart. At any time, students can pay for all licenses in the cart using their Paypal account, after which the materials are available to them.
  • Ex Libris bills the institution each month for total access to all funded materials for all courses. The bill is sent as an invoice and enters into Alma invoice processing.
  • When rolling over courses, licenses for materials are rolled over but set to inactive. You can run a job to activate all of these licenses.
To enable integration with CCC, contact Ex Libris support. For more information, see Integrating Leganto with the Copyright Clearance Center (CCC).
