    December 2020 Fulfillment - Course Reserves URM-127780
This enhancement allows you to configure and run the new Course Bulk Update job (Admin > Manage Jobs and Sets > Run a Job > Courses > Courses Bulk Update). This job enables you to perform the following actions on a set of courses:

    • Update course information (such as processing and academic department, instructors, start and end dates, and so forth).
    • Delete all courses in the set.
    • Disassociate all courses in the set from their reading lists.

Control the Locate Citation Process with New Configuration

November 2020 Fulfillment Course Reserves URM-133083
You can now configure Leganto to locate citations based on any or all the fields indicated in the Locate Citations By Fields mapping table (Fulfillment Configuration > Courses > Locate Citation By Fields), using the new resource_locate_mode field in the Other Settings table (Fulfillment Configuration > General > Other Settings).
    • If you set the value of the resource_locate_mode field to "OR", then Leganto will locate citations based on any of the fields in the Locate Citations By Fields mapping table.
    • If you set the value of the resource_locate_mode field to "AND", then Leganto will locate citations based on all of the fields in the Locate Citations By Fields mapping table.
The default value of the resource_locate_mode field is "AND".
You can now also configure Leganto to locate only citations of specific material types (e.g. book, journal article, presentation, etc.), by entering in the codes for the material types into the new resource_locate_by_type field in the Other Settings table (Fulfillment Configuration > General > Other Settings), separated by commas.
    Resource_Locate_Mode & Resouce_Locate_by_Type.png
    Other Settings table--Resource_locate_by_type & resource_locate_mode parameters
The codes for the material types are defined in the Citation Material Type table (Fulfillment Configuration > Courses > Citation Material Type). For more information, see General (Configuring Other Settings) and Managing a Citation's Attachment to an Inventory Item.
In addition, in the Process and Enrich Citations job (Fulfillment > Advanced Tools > Process and Enrich Citations), a new "Perform locate on type" field allows you to select which material types to perform the locate action on. The field is automatically populated with the material types corresponding to the code(s) entered in the resource_locate_by_type parameter in the Other Settings table (see figure above). In this case, the field will be automatically populated with the "Book" and "Article" material types.

Create Reading Lists by Importing a CSV or XLS File

November 2020 Fulfillment Course Reserves  NERS NERS Enhancement (ID #6490) URM-130197
You can now create reading lists by importing a .txt or .csv file, using a new integration profile job called Reading List Loader. You can view a sample file here.
For more information on the file requirements, see Reading List Loader.
To create reading lists by importing a .txt or .csv file:
    1. Add a new integration profile by navigating to the Integration Profile List page (Configuration Menu > General > External Systems > Integration Profiles) and selecting Add Integration Profile).
    2. In the Integration Profile screen, select "Reading List Loader" from the Integration Type dropdown.
    3. In the S/FTP Connection Type dropdown, select a connection type.
    4. Fill in the remaining required fields and click Next.
    Integration Profile (Add).png
Add integration profile - Reading List Loader
    1. In the Reading List Import screen, enter the Input File Path. This is the path to the .csv or .xls input file on the ftp server.
    2. Select to run the job in Report Mode if you wish. If selected, the job will not create reading lists, but will rather simulate the creation and produce a job report as if reading lists were created.
      Reading_List_Import_Select_Input_File_Path_2.png
Reading List Import - Select Input File Path
    3. If there are data files you wish to associate to the citations in the upload, you must put them into a folder named files, and put the folder into the same location as the input file.

      Input File and Files Folder.png

      files folder and input file
For each citation in the .csv or .txt input file to which you wish to associate a data file from the files folder, the value of the file_name field in the .csv/.txt file must be identical to the name of the data file that you wish to associate to the citation.

      Reading List Loader_File Name.png

      File_name field
If there is a problem reading/uploading a file, the upload process will continue and only that file will fail to attach.
    4. Click Save to save the integration profile.
    5. In the Integration Profile List screen, select the integration profile you have created and select the Actions tab. Click Run to run the job.
A Reading List Loader job can be aborted at any time via the Monitor Jobs screen in Alma. When a job has been aborted, any reading list that has already been loaded will remain in the system.
Prior to running the job, the system validates the data in the input file, to check for the following errors:
    • Missing columns
    • Rows with a corrupted row length (tab count is less than the required amount)
    • Reading list code already exists
    • The list is not in one block.
    • The section is not in one block.
    • Any of the following mandatory fields are missing for any rows:
      • Reading list code
      • Reading list name
      • Section name
      • Citation secondary type
      • Citation status
      • Citation title. If type is a book chapter, then the chapter title is mandatory.
    • The same list code appears more than once in the file across random rows.

Empty lists are considered valid. Therefore if there are reading list names and codes but no section or citations, this is considered valid. In addition, if there are reading list names and codes and section names, with no citations, this is considered valid.

When the job runs, a reading list set (type-itemized) is created with all list IDs created during the job. The set will be visible (type "Public"). The set name will be ReadingListLoader_<JOB_ID>.

Once the job has run, you can view the results of the job by finding the integration profile in the Integration Profile List screen and selecting Job History from the ellipsis menu. The Job History screen appears for this job.

    APIs for Course Enrollment

    September 2020 Fulfillment Course ReservesURM-130009
Three new APIs have been added. These enable viewing enrolled users in a course, enrolling users in a course, and un-enrolling users from a course.
    • Endpoint for "View Enrolled users in course" API:
      GET /almaws/v1/courses/{course_id}/users
The response is a list of students enrolled in this course.
    • Endpoint for "Enroll users to course":
      POST /almaws/v1/courses/{course_id}?op=enroll_user&user_ids=id1, id2,…
      The parameters entered are:
      • op - the only supported value is enroll_user
      • user_ids: a list of 1 or more Alma user IDs separated by a comma
    • Endpoint for "Un-enroll users from course" API:
      DELETE /almaws/v1/courses/{course_id}/users/{user_id}

For more information on these APIs, see the Developers Network.

    Search for Citations by Keyword

September 2020 Fulfillment Course Reserves NERS NERS Enhancement (ID #6805) URM-130189
For simple Alma searches only, the Keyword option has been added to Citation searches to allow staff to search for specified keywords in citations' metadata (such as Author, MMS ID, Title, and so forth). When selecting the Citations type of search, Keyword is now the default selection. For more information, see Searching in Alma.

    LGTO_CitationSearch_byKeyword.png

    Search Citation Lists by Keyword
    • Citation searches by keyword do not support the use of Boolean operators (such as AND or OR), and if these operators are specified, they will be treated as keywords.

    • When special characters (such as hyphen, dash, slash, and so forth) are specified as search terms, the search will return results that both include and exclude the special characters.

Four new filters have been added to the Task List.
The Reading List - Unassigned - processing filter contains a number of sub-list divisions of reading lists having a status of not complete, two of which have been exposed:
    • Reading list - Unassigned - being prepared -- Selecting this filter will open the Reading List Task List on the Unassigned tab, with the reading lists filtered by publication status = Active and Status = Being Prepared.
    • Reading list - Unassigned - being processed -- Selecting this filter will open the Reading List Task List on the Unassigned tab, with the reading lists filtered by publication status = Active and status = Being Processed.

Two new citations filters have been added:

    Instructor Personal Copy Management

May 2020 Fulfillment - Course Reserves
Alma now includes enhanced workflows to enable instructors to lend their personal copies of items to the library for circulation. This allows the library to catalog instructor-owned copies, track which instructor owns the item, and easily re-use previous items in subsequent terms.

When enabled, library staff can indicate that an item is a personal copy when creating a Brief Citation (Add Citation > Add Brief) and enter the instructor’s name. Alma will store information about all instructor-owned copies using dedicated personal copy locations. Locations in the library are automatically created when the instructors' copies are cataloged, with one location per instructor. All items deposited by the instructor will be created in that same location.

    instructor_name_for_personal_copy.PNG

    Instructor's Name for Personal Copy

Personal copy locations indicate that the items are owned by the instructor, and also allow the library to track items that are not physically in the library at that time, but rather, in the instructor’s possession. All personal copy locations and the items in them will be suppressed. When the instructor lends the item to the library, the item can be moved to a temporary location representing a non-personal copy location in the library, where it will circulate according to standard fulfillment rules. For example, library staff may move the item to the temporary location of “Course Reserves” with a due back date of the end of the term. The item will temporarily circulate as part of the library collection, but with the instructor’s name stored as the permanent location, indicating the person to which the item should be returned at the end of the term.

    copy_moved_to_desired_location.PNG

    Copy Moved to Desired Location

When the item is moved back to its permanent location, which is the personal copy location, it will automatically be suppressed. The item can then be returned to the instructor, but the record does not need to be deleted and can be easily re-used in subsequent terms by following the workflow above.

To enable this feature, configure the following parameters:

Personal copy library: To enable the personal_copy_library flag (Fulfillment > General > Other Settings) you must enter a library code as the parameter value, such as MAIN. This code corresponds to the library where the personal copy locations will be created.

Personal copy fulfillment unit: To enable the personal_copy_fu flag, you must enter a fulfillment unit code as the parameter value. Fulfillment terms for items in the instructor-owned locations are determined by the rules set in this Fulfillment Unit. Keep in mind that the intended workflow is that items in an instructor location are not currently part of the library collection and are physically stored with the instructor.

For more information on adding citations to a reading list, see  Contributing Instructor Resources to a Reading List.

Intuitive and Simplified List Analysis Report

    December 2020 Leganto URM-135296
The following changes have been made to the instructor's List and Citation Analysis reports to improve their usability:

    • Changed the name of the Total Views column to Total Activities.

    • Changed the name of the Student Engagement % column to Student Usage. In addition, the column displays High, Low, or Medium (as well as a color) instead of a percentage, which was not very meaningful to many users.

    • Improved the manner in which the Student Usage score is calculated. If the number of participants is not available, usage will now be based on the total number of active users.

    • Changed the name of Students marked read column to Students marked as done.

    • Added an Information icon LGTO_InformationIcon.png to each column heading so that users can view the meaning of each column quickly.

    December 2020 Leganto URM-137927
You can now add a general message to the top of all reading lists and citations in Leganto. By default, the general message is titled Important message and will continue to appear until it is disabled with the new general_message parameter in the Leganto Features mapping table (Configuration Menu > Leganto > Features > Leganto Features). The message itself is configured and translated by adding a row to the Customer Labels code table (Configuration Menu > Leganto > General > Customer Labels).

For more details, see Configuring the General Message for Reading Lists and Citations.

November 2020 Leganto   NERS NERS Enhancement (ID #6444) URM-130192
For citations in completed status, you can now configure Leganto to revert the citation to a different status whenever a certain tag for the citation is added or removed.
Whenever you add a tag to a citation matching one of the values entered into the revert_citation_status_by_adding_tags parameter in the Course Reserves Automatic Status mapping table (Leganto Configuration > List Management > Course Reserves Automatic Statuses), the citation will revert to the status defined in the revert_completed_citation_status_to parameter.
Likewise, whenever you remove a tag from a citation matching one of the values entered into the revert_citation_status_by_removing_tags parameter in the Course Reserves Automatic Status mapping table (Leganto Configuration > List Management > Course Reserves Automatic Statuses), the citation will revert to the status defined in the revert_completed_citation_status_to parameter.

Usage Insights for the Library for Fulfillment Decisions

    September 2020 Leganto URM-133881
Librarians can now get insights on the usage of citations on a list, via a new job called "Citations Insights job". This job identifies citations with high or low usage on a variety of metrics. These insights can help inform purchasing and licensing decisions regarding the appropriate number of licenses or copies required to support the students taking the course. To run this job, go to Admin > Run a Job > Citations Insights job
For more information on running jobs, see Running Manual Jobs on Defined Sets.
    Citation Insights Job.png
    Citation Insights job configuration screen
Before running the job, you first select a set of citations. Then you can select the usage insights you would like to receive by checking the checkboxes. For each, you enter a value to represent your definition of high or low usage. For example, for High demand loan insight, you can enter 20 to indicate that 20 or more loans per copy is considered a high value and will trigger the high demand loan insight.
The values you enter must be whole numbers, and cannot be less than zero.

    The usage insight options include:

    • High demand loan insight: Citations for physical resources where the number of loans per copy is equal to or greater than the defined ratio.
    • Low demand loan insight: Citations for physical resources where the number of loans per copy is equal to or lower than the defined ratio.
    • High demand reserve loan insight: Citations for physical resources in a specific location where the number of loans per copy is equal to or greater than the defined ratio.
    • Low demand reserve loan insight: Citations for physical resources in a specific location where the number of loans per copy is equal to or lower than the defined ratio.

For the high demand and low demand reserve loan insights, you must also define the library and location or locations that you would like to include. For example, you may wish to only report on items in a specific reserve or short-loan location.

    • High usage insight: Citations for electronic portfolios where the number of views per concurrent license is equal to or higher than the defined number.
    • Low usage insight: Citations for electronic portfolios where the number of views per concurrent license is equal to or lower than the defined number.

The high usage and low usage insights require that concurrent users are mapped to a license section and configured to display in the license terms in Alma.

    Concurrent User_3.png

Alma only checks titles where all of the portfolios have a defined concurrent user license term. If there are multiple portfolios for a citation and one does not have a concurrent user restriction, the citation is skipped. Otherwise, Alma calculates the usage per concurrent user license for all portfolios for the citation.

For all insights, the usage is calculated based on the start and end dates of the citation’s course. When the citation is used in multiple courses, the calculation is based on the earliest start date and the latest end date.

Student Success Measurements - Opt In Service

    September 2020 Leganto URM-125311 URM-125311
Until now, student activity in Leganto was anonymized, and only cumulative usage statistics were presented for the group of students in a course. Your institution can now opt to save usage statistics for individual students, which is viewable in Leganto by instructors, as well as collect analytics on individual students' engagement with the reading list in the analytics engine. Librarians are able to view this data in Alma's analytics. For more information on the analytics engine, see Leganto Student Usage.
To opt in, the institution must sign the opt-in form, LEGANTO STUDENT SUCCESS MEASUREMENTS SERVICE Opt In 2020.pdf, and send it to the Ex Libris support department via a Salesforce support ticket. Once the form has been received, our support team enables this feature in our backend. You then receive an opt-in notice explaining the basic terms of this service. Information pertaining to Data Subject Rights for Leganto can be viewed here.
Once the feature has been turned on by our support team, the unique identifier of each user is stored along with the existing data in Leganto's analytics engine (see Leganto Student Usage). Historical data is kept anonymized, and only new student usage is tracked per unique identifier.
To enable usage statistics in Leganto, you need to set a new flag in the Leganto Features table (Leganto Configuration > Features > Leganto Features), called list_analysis_student_usage.
    List_Analysis_Student_Usage.png
    list_analysis_student_usage flag
Once the flag has been activated in the Leganto Features table, the instructor can select Usage per Student in the View Lists Analysis dropdown to view the usage data per student.
    View Lists Analysis.png
View Lists Analysis - Usage per Student
The instructor sees the dropdown only if both list_analysis flag and the list_analysis_student_usage flag are enabled in the Leganto Features table. If only the list_analysis flag is enabled in the table, then clicking on the View Lists Analysis icon activates the Cumulative Usage function. If only the list_analysis_student__usage flag is enabled in the table, then clicking on the View Lists Analysis icon opens the Usage per Student display.
If Usage per Student is selected, then the Usage Per Student display opens, with the following statistics per student:

    Usage Per Student.png

    Usage per student
    • # of full text views of citations
    • # of likes on citations
    • # of citations marked as Done
You can filter the usage by section and by citation.
Once the Usage Per Student feature has been enabled for the institution, any student has the right to be forgotten (according to GDPR guidelines). This means they can ask to delete their individual data. For this, the student needs to contact the library staff at the institution, who can then select Remove Leganto Usage in the user screen in Alma:
    Remove Leganto Usage.png
    Remove Leganto usage
Any users with a Patron role have this checkbox, but the Usage for Student is only recorded on actions that can be performed by students. Once this checkbox has been checked, data will no longer be collected on the student, and all past data on them will be erased.
If your institution opted into the service, you can open a support ticket with Ex Libris to opt out of it. The deletion of student information will be available as of the October 2020 release.
For more information on Usage per Student, see Working With Reading List.

Synchronize Copyright Requests with the Norwegian Copyrights System (Bolk)

    July 2020 Leganto URM-121369
Leganto can now be integrated with Bolk to support Norwegian copyright requests. To enable this feature, you must add your Bolk API key to the bolk_api_key parameter (Configuration Menu > Leganto > General > External Integration). When configured, the Bolk Settings page becomes available (Configuration Menu > Leganto > List Management). In this table, you can define the default instructor user name to send to Bolk when a course does not have an instructor assigned, and the default term code to send to Bolk when a course does not have a term assigned. When the Bolk functionality is defined, the list is associated with a course, and the citation has an ISBN, the Create Bolk Request option appears on the citation's row action menu.
    URM-121369_1.png
    Creating a Bolk Request
If you attempt to create Bolk requests on citations belonging to reading lists unassociated with a course, an error message is displayed. To associate the reading list with a course, see Associate a Reading List with One or More Courses or Editing a Reading List.
    URM-121369_3.png

Clicking Create Bolk Request displays the Create Bolk Request window. From here you can enter the page range(s) that require Bolk approval.
    URM-121369_2.png

    Syndetics Unbound Integration with Leganto

    July 2020 Leganto URM-125192
Leganto has integrated with Syndetics Unbound. This integration enables Syndetics Unbound customers to access all of the sections displayed on their Detail Page Settings in Leganto.
    URM-125192_4.png
    Syndetics Unbound Detail Page Settings
These sections appear below the Appears on these reading lists section.
    URM-125192_3.png
Syndetics Unbound Sections Displayed in Leganto
These sections are only displayed in Leganto when the syndetics_id flag is enabled (Configuration Menu > Leganto > External Integrations), which is done by inserting a syndetics ID number.
When enabled, Syndetics Unbound users can access and configure their section settings (Configuration Menu > Leganto > Features > Syndetics Unbound). The Syndetics Unbound link is not displayed if the syndetics_id flag is not enabled.

    • minimum - shows the minimum price
    • maximum - shows the maximum price
    • median - shows the median price (default)

This flag is also used for the manual option in Leganto for a single citation.

You can also set the following conditions under which to run this job:

    • If field is empty
    • If field is not empty
    • Unconditionally

    Blacklight Integration

    July 2020 Leganto URM-127550
Leganto now offers integration to Blacklight.
    Blacklight 1.png
    Blacklight Search
This integration is based on the blacklight APIs. You need to be familiar with your API response in order to set up the integration.

    Examining your API response

The blacklight API response is a JSON object. If your blacklight search URL looks like: https://search.library.north.ca/catalog?q=shakespeare, in order to execute the blacklight search API, add to it the .json as seen here: https://search.library.north.ca/catalog.json?q=shakespeare
When examining the response in a JSON viewer, a list of results is available in the docs section. In the example below, the result #0 is expanded. Each result has a set of fields (for example: author_display, bibliography_note_tesim). Each institution might have different field names (for example author_display might be just author). These field names will be used as a reference in the coming configurations.
    Blacklight 2.png
    JSON Result
The setup is configured in the Blacklight Settings page (Configuration Menu > Leganto > Discovery).

    Leganto Blacklight Settings.png

    Leganto Blacklight Settings Page

Configure the fields are as follows:

    • domain_url - Mandatory - The domain URL to your blacklight system. If your search URL looks like this: https://search.library.north.ca/catalog?q=shakespeare the domain URL should be https://search.library.north.ca.
    • field_name_marc - Optional - Some institutions might have the MARC content returned in the API. If so, configure the field name that holds the marc content (in the example above configure field_name_marc=marc_display). If this field is configured, then it is not necessary to enter the field_name_mmsid or field_name_view_online fields.
    • field_name_mmsid - Optional - Some institutions will have the Alma MMSID returned in the API. If so, configure the field name that holds the Alma MMSID.
    • field_name_type - Mandatory - The field name that holds the item type (Book, Article, etc.). In the example above, configure field_name_type = format.
    • field_name_view_online - Optional - The field name holding a URL to display in Leganto. The URL will be placed in the source URL field of the citation.

Once this table is saved with a domain URL, two new tables, Blacklight Material Type Mapping and Blacklight Field Mapping, are displayed in the Discovery menu (Configuration Menu > Leganto > Discovery).

    Blacklight Material Type Mapping

Map the values in the field_name_type to the Leganto secondary type.

    Navigating to (new) RefWorks
In addition, you can now export citations to (new) RefWorks. You can access this menu from the reading list, section, and citation levels by selecting Export from the list options menu.
Exporting Files to the Current Version of RefWorks.png
Exporting Files to the Current Version of RefWorks

Selecting To RefWorks at the reading list level exports it to an automatically created folder in RefWorks titled Reading List and gives it a time stamp. Exporting the same list more than once does not override it in RefWorks. Instead, RefWorks creates a folder with an identical name and reading list, but with a unique time stamp for every export. The export_to_refworks flag must be set to yes to enable exporting reading lists to RefWorks (Configuration Menu > Leganto > UI > List Menu).

Selecting To RefWorks at the section level exports it to an automatically created folder in RefWorks, and assigns it the title <name of reading list>_<name of section>. As with reading lists, exporting the same section more than once does not override it, but creates a section with an identical name and unique time stamp. The export_to_refworks flag must be set to yes to enable exporting sections to RefWorks (Configuration Menu > Leganto > UI > Section Menu).

Selecting To RefWorks at the citation level exports that citation to an automatically created folder in RefWorks titled References. Exporting the same citation adds citations to the References folder. The export_to_refworks flag must be set to yes to enable exporting reading lists to RefWorks (Configuration Menu > Leganto > UI > Citation Menu).

    References Exported to RefWorks.png

    References Exported to RefWorks

Librarians can modify the default folder names in (new) RefWorks (Reading List and References) from Configuration Menu > Leganto > Labels:

    • Reading lists - refworks.folder.name.reading.list

      • Name of the reading list
      • Citation ID
      • Creator of the request (the person who submitted the request).

A new parameter allows you to flag MARC records that are created from a citation, for example, when submitting a purchase request, to easily allow you to find the record and review it later. When the parameter, MARC_incomplete_field_indicator (found in Leganto configuration Menu > General > Settings), is configured, the field indicated in the parameter is written to the MARC record. The parameter format is <MARC field number>.<subfield>.<text>.  For example, if you want MARC records created from a citation to contain a 591 subfield a with the value INCOMPLETE, the parameter should be set to 591.a.INCOMPLETE.

You can now configure translations of the text in two areas, using the Customer Labels table (found in Leganto Configuration > General > Customer Labels):

      • The File Upload Copyright Options area in Leganto

      • The text of any new video you add to the Guided Videos section

For the File Upload Copyright Options, when a value in the Code column of the Customer Labels table matches a value in the Text column of the File Upload Copyright Options table, and you select a language in Leganto, the corresponding copyright option in the File Upload Copyright Options area of Leganto appears with the value in the matching Translation column of the Customer Labels table for that language.

Likewise, for the Guided Videos, when a value in the Code column of the Customer Labels table matches a value in the Guided Video column of the Guided Videos table, and you select a language in Leganto, the corresponding copyright option in the Guided Videos area of Leganto appears with the value in the matching Translation column of the Customer Labels table for that language.

For instance, if you added a video called Creating_a_list_video in the Guided Videos table, and you wish to translate the video name into French, then in the Customer Labels table, you can select French from the Filter dropdown, and add a row to the Customer Labels table whose Code value matches the Creating_a_list_video value from the Guided videos table. In the Translation field, you can then enter the translated name of the video.
